Change the values of a dropdown, radio or checkbox field in a module
To change the choices in a module’s dropdown, radio or checkbox field, go to Super > Modules, open the module, find the field on the Index tab and open its panel with the tasks icon. Under Field Items you can add, rename, deactivate, delete and sort the values, and choose a default. Then click Save at the bottom of the page. A value that is used in a document of the module cannot be renamed or deleted, but it can be deactivated.
Before you start
Section titled “Before you start”- You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this; see The Users page and the rights table.
- Know which section of the module the field is in.
- This page is for the module’s own list fields. Other lists are managed elsewhere: global fields in Add a value to a global field, with or without translation, the risk management lists in Manage the risk dropdown lists, and the equipment lists in Manage equipment dropdowns and intervals.
- In the left menu, click Super > Modules, and click the module in the list. The editor opens on the Index tab.
- Click the tab of the section that has the field.
- Find the field and click its tasks icon (tooltip Expand/Collapse). The field’s panel opens, with the values under Field Items.
- Make your changes:
- Add a value: click Add on the value the new one should follow, or “+” if the list is empty, and type the text.
- Rename a value: click the pencil (Edit). If no document in the module uses the value, the text box opens; change the text. If the value is in use, a dialog lists the documents that use it and the value stays as it is; click Close.
- Stop offering a value: click Deactivate. The button turns red. The value stays in the documents that already have it.
- Remove a value: click Delete. This works only if no document in the module uses the value; otherwise the same dialog lists the documents that use it.
- Set a default: click the value’s default button. A dropdown or radio field has one default; click it again to clear it. A checkbox field can have several.
- Sort: use the sort button to choose Sort alphabetically or Custom sort by number. With custom sort, type each value’s place in its number box.
- In a list with translation, choose a translation for every value: the text box searches your company’s existing translations, and the button next to it opens a form for a new one.
- Click Save at the bottom of the Index tab.
What you should see
Section titled “What you should see”When the module is saved, the page returns to the module list. The changes apply to the module as it is, so they also show on existing documents in that module. If the page stays on the editor after Save, a label or a value is missing its text; fill it in and save again.
Good to know
Section titled “Good to know”- Save before you leave. Changes in the panel are kept only when you click Save. If you leave the page first, they are lost.
- Renaming a value in use. A value used in documents cannot be renamed. Deactivate it and add a new value with the new text instead.
- Default per field. The default applies to this field in this module only.
- Global fields in a module. A global field placed in the module shows only Single select and Multiselect here. Its values are managed under Super > Global Fields.
- Display of the field. Whether the field shows as a dropdown, radio buttons or checkboxes is set in the same panel under Field Settings; see The module editor: module list, Index tab and field panels.
- New fields. Adding, moving or removing fields, and changing a field’s type, is done by Antenor. Contact Antenor for this.
