Follow up a risk element with actions

To follow up a risk element, create an action from its Actions cell: switch to Edit mode, click the cell to open the action panel under the row, and click New action. The action is an ordinary Action Manager action linked to that risk element. For a risk element, the Actions cell counts closed linked actions against all linked actions, and the linked actions set the element’s Status to Actions in progress or Actions completed.

  • Risk management appears in the left menu only if your company has the module and you have at least the Read right on its row. If you don’t see it, contact your user administrator. See The top bar and the left menu.
  • To create actions from the risk table you need the Edit right on the Risk management row, so that you can use Edit mode. Your user administrator grants it; see Give a user access rights.
  • You also need the Read right on the Action Manager row of your rights, because the action is an Action Manager action. By default every user has it; if you do not, ask your user administrator.
  • The risk element must be saved; see Add and edit risk elements.
  • Know how to fill in and send an action; see Create an action and send it to someone.
  1. Open the analysis and click Edit mode.
  2. Expand Risk treatment under Column sections to show the Actions column.
  3. On the risk element’s row, click the Actions cell (the arrow’s tooltip is “Click here to open the actions menu”). A panel opens under the row and lists the actions already linked to the element. Only one row’s panel is open at a time.
  4. Click New action. The action dialog opens with you as creator and as the person who holds the action, status New, and the link to this risk element already filled in.
  5. Fill in the action as usual, for example Title:, Due date and Responsible, and click Send or Save as draft. See The action dialog: every field, panel and button.
  6. Click the Actions cell again to close the panel.

The action appears in the panel, and the Actions cell for the risk element shows the new count, for example 0 / 1. The risk element’s Status becomes Actions in progress. This also applies to an action saved as a draft: it is a linked action that is not closed. In Action Manager, the action is linked to a record named after the analysis title and the risk area, as “<analysis title> - <risk area>”.

  • How status follows the actions. For a risk element, saving any linked action sets Status to Actions in progress while at least one linked action is not closed, and to Actions completed when all linked actions are closed. While the status is set by actions, the Status field in edit mode is locked and shows that status.
  • Setting status yourself. Without driving actions, you can choose Open, Pending or No action in the Status field in edit mode. The choice is saved at once. A new risk element starts as Open.
  • Deleting an action. In edit mode, the action’s creator and your user administrator (the Admin level on the Super area row) see a copy icon on each action in the panel, and a trash icon on actions with status New or In progress. Other users see neither icon. After deleting, the risk element’s status is Actions in progress if another action is still open, Open if the deleted action was the only one, and otherwise Actions completed.
  • Opening an action. In view mode and edit mode, click an action in the panel to open it in the action dialog. New action appears only in edit mode.
  • Deleting a risk element deletes its actions. If a risk element is deleted, its linked actions are deleted from Action Manager too. See Copy, reorder, flag and delete risk elements.
