Let a user log in with Office 365
Whether a user logs in with a password or with their Microsoft account is set per user, in the Login method : switch on the user’s User profile. Choose Office 365 when you add the user, or edit an existing user and switch it, then click Save. The user’s e-mail address in ABMS must be the same as the e-mail address of their Microsoft account; ABMS finds the user by that address.
Before you start
Section titled “Before you start”- You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this; see The Users page and the rights table.
- Know the e-mail address of the user’s Microsoft account. The username in ABMS is the e-mail address, and it must match.
- Office 365 is chosen per user. There is no company-wide setting for it.
Steps: a new user
Section titled “Steps: a new user”- In the left menu, click Super > Users, then click Add user.
- Under Username :, type the user’s Microsoft e-mail address.
- Under Login method :, switch from Password to Office 365.
- Fill in the rest of the form and click Save. See Add a user.
To add many users who all log in with Office 365, turn on Will only use Office365 login on the Create multiple users page; see Add multiple users at once.
Steps: an existing user
Section titled “Steps: an existing user”- In the left menu, click Super > Users.
- On the Users tab, pick the user and click Edit.
- Check that Username : is the same address as the user’s Microsoft account.
- Under Login method :, switch to Office 365.
- Click Save.
What you should see
Section titled “What you should see”A new user who logs in with Office 365 gets an e-mail instead of the password e-mail. It says: “Your new account for Antenor BMS system has been created, it can take up to 24 hours for your account to be available. You will log in using Office365 with your Microsoft credentials.” and gives the address to log in at.
From then on, the user logs in with Login with Office 365 on the login page; see Log in with Office 365.
Good to know
Section titled “Good to know”- No password in ABMS. A user set to Office 365 does not use an ABMS password. If they type their e-mail and a password on the login page, they see either “Invalid email or password.” or “Your user is configured to log in using Office 365. If you wish to log in using a password instead, please configure this on your user profile after logging in using your Office 365 account.” If they use “Forgot your password?”, they get the second message and no reset e-mail. After you switch an existing user to Office 365, their old ABMS password no longer lets them in. Tell the user about the switch yourself.
- Keep the addresses the same. If the user’s Microsoft e-mail address changes, change the user’s username in ABMS to match, and the other way round. When you change addresses for the whole company under Super > System settings, users who log in with Office 365 get no e-mail about it; see Company settings: logo and e-mail address policy.
- Users are not created from Microsoft. Every user must exist in ABMS before they can log in with Office 365. Rights are set in ABMS as for any other user; see Give a user access rights.
- The user’s own profile. Users also see the Login method : switch on their own profile and can change it themselves. A user who switches back to Password is asked to set a new password the next time they log in. Ask users to leave the switch as it is.
- Integrations. A user who logs in with Office 365 cannot be used for the report data API, which needs a password; see Get report data into Power BI or another tool.
