Export and share the equipment list
In Equipment Management, on the Index tab, Export to Excel downloads the equipment list as an Excel file with your current columns, filters, search and sort order, all items on one sheet. Get link to share opens a dialog with a link and a QR code that open the list exactly as you see it now; anyone you send it to sees the same columns, filters, search and sort order.
Before you start
Section titled “Before you start”- You need the Read right on the Equipment row. Anyone who opens a shared link needs the Read right on the Equipment row too. Your user administrator sets this.
- Set up the list first: choose columns with Select columns, filter, search and sort. See Find equipment and check when maintenance is due for how.

What you should see
Section titled “What you should see”The Excel file has one sheet:
- The columns are the ones in your list, in the same order, with the column names in bold in the first row.
- The rows are all items that match your filters and search, in your sort order, not only the page you are looking at.
- The Status column holds each item’s next due date, with the cell coloured green, yellow or red like the status in the list.
- The Active column reads “Active” or “Inactive”, in English whatever your language.
- Dates are written as day/month/year.
- Maintenance interval shows the name of the interval.
Someone who opens the link sees the equipment list with your columns, filters, search and sort order. A Personal index button and an information icon are shown. The icon explains: “This is a shared Index. Any changes won’t be saved. If you want the configuration to be saved, go back to Personal Filter or get a new shared link”.
Good to know
Section titled “Good to know”- Your own settings are safe. Changes made in a shared view are applied but not saved. Click Personal index (tooltip “Go back to your personal configuration”) to return to your own saved list.
- Exporting from a shared view. Exporting while you look at a shared view uses that view’s columns, filters, search and sort order.
- The link shows current data. The link holds the list settings, not the items. Whoever opens it, or scans the QR code, sees the items as they are at that moment, and must be logged in to ABMS with the Read right on the Equipment row.
- No last-changed date. The list and the export do not show when an item was created or last changed.
