Choose the language for people outside ABMS

When you send a document to someone outside ABMS, there is no language setting for the receiver. The e-mail they get has its fixed texts in your own ABMS language, while the subject and the message are the ones you write, so write those in the receiver’s language. On the form itself, the receiver chooses English or Norwegian with the flags at the top. People in Competency who have no login to ABMS are different: the language of their Competency e-mails is set with Email language on their details.

  • You send the document as described in Send a document to someone outside ABMS: you must own the current step, and the step must be set up for sending externally.
  • Know which language the receiver prefers.
  1. Open the document in edit mode and click Send externally in the button bar.
  2. Fill in Receiver email.
  3. Write Email subject and Message for external user in the receiver’s language. If the receiver may need the other language, mention in the message that they can switch between English and Norwegian with the flags at the top of the form.
  4. Click Send.

What the receiver gets:

  • The e-mail. Your subject and your message. Around them, the fixed texts are in your ABMS language: a line saying that you have sent them the document with a message, a button with the document’s title, a link to copy if the button does not work, and a closing greeting.
  • The form. It opens in the language the receiver last chose with the flags in that browser. If they have never chosen one there, it opens in the language of the person who owns the document’s current step, normally you.
  • The flags. The flag menu at the top of the form offers “English” and “Norwegian”. Choosing one switches the field labels, the field options, fields with text in both languages and the text editor’s menus at once. The browser remembers the choice, and later forms opened in the same browser start in that language.
  • A PDF from the form. If the receiver makes a PDF with the form’s Print button, its labels and footer are in the language chosen on the form.
  • Pages after the form. If the receiver opens the link after returning the form, or after the link has expired, the page they see is in your language.
  • Rejection e-mail. If you reject a returned form, the e-mail the receiver gets about it is in the language of the person who rejects it.
  • Your own language. The fixed texts follow the language you have chosen in the top bar of ABMS; see Change language or password. Colleagues with an ABMS login get e-mails about documents they follow, comments and Read & understood in the language they have chosen there; the fixed texts of the workflow e-mails, such as a document sent or rejected, are mostly in the language of the person who acted. See Document e-mails: subjects, recipients, language and sender.
  • People in Competency without a login. For a person registered in Competency who has no login to ABMS, Email language on the person’s details chooses “English” or “Norwegian” for the reminder e-mails they get from Competency. It is not used for documents sent externally. It is Norwegian for new people, and changing it needs the right to edit the person in Competency.
