The print dialog and the PDF

This page describes everything that happens when you print a document in a standard document module: the Print button, the dialogs it may open, and what the PDF contains. Printing always makes a PDF, which your browser downloads; you print on paper from the PDF. For a walkthrough, see Print a document or save it as PDF.

Where The printer button in the view-mode button bar, tooltip Print. See The document page in view mode.
Who Anyone who can open the document: the Read right on the module’s row, or an invitation to comment on the document.
When it is shown Always in view mode. There is no print button in edit mode.
When it is disabled While ABMS is in maintenance mode.
What it does Opens the dialogs below when they apply, and then makes the PDF.

Shown only when you print a previously published revision that is no longer valid.

Part Text and effect
Title “Revision expired”
Text “This is a previously published revision, are you sure you want to print it?”
No Stops. No PDF is made.
Yes Goes on to the image dialog, or makes the PDF.

Shown only when the document has image attachments that are not used inside a text field. Without such images, the PDF is made at once. The dialog’s title is “Choose what images do you want to print”.

Control What it does Default
One checkbox per image Each image attachment, by file name. Hover over the name to see the image. A ticked image is printed on the images page at the end of the PDF. All unticked.
Close Closes the dialog without making a PDF.
Produce PDF Makes the PDF with the ticked images.

Images placed in the text of a field are not listed; they are always printed where they are in the text.

Part Rule
Format A4, portrait.
File Downloaded by your browser as a PDF file named after the document’s title. Whether the browser also opens it depends on the browser.
Revision From the document page: the newest published revision if there is a newer one than the one you have open, otherwise the one you have open. From an earlier revision opened from the info panel: that revision. In both cases the content is as it stands at the revision’s latest step. See Revisions and the info panel.
Sections With Show all ticked: all sections the document has reached; for a published document, all sections. Without it: only the section tab you have open.
Fields The fields of those sections. Groups of fields that are hidden on the form are left out.
Table of contents A text field with its table of contents switched on gets the list of Heading 1 headings at the top of the field.
Tables Wide tables are scaled down to fit the page width.
Page breaks A Page break inserted in a text field starts a new page.
Diagrams Diagrams inserted in a text field are printed as images, with links.
Actions page After the fields, a page lists the actions linked to the document: title, created date, sent date, due date, findings / background, suggested actions, action taken, status, closed date, creator and responsible.
Images page Then a page with the images you ticked in the image dialog.
Where Content
Header, every page The document’s title.
Header, first page Your company’s logo.
Footer: ID The document’s short ID, the first eight characters, as in the info panel.
Footer: status The document’s status. For an earlier revision that is no longer valid, a note that the revision has expired is added.
Footer: approved The name of the person who approved the document, or N/A.
Footer: archived A note that the document is archived, on archived documents.
Footer: date and revision On published documents: the publishing date (dd.mm.yy) and the revision number out of the latest revision, or “Original document” for the original.
Footer: page The page number and the number of pages.
Footer: last line A note that the printout is an uncontrolled copy from the management system.

Labels, the actions page and the footer are in your own language setting (see Change language or password). Fields with text in both English and Norwegian are printed in your language. “Original document” is always in English.

A person outside ABMS who fills in a form you sent them has a Print button on the form. It opens the same image dialog and makes a PDF with the same header and footer. The labels and footer are in the language chosen with the flags on the form. See Send a document to someone outside ABMS and Choose the language for people outside ABMS.
