Find and read a standard report
A report is a list of documents with the columns and filters your company has chosen. Open Reports in the left menu and click a report, or open it from a company menu or from the module’s own menu. The report shows one row per document; click a row to open the document, and click a column header to sort. Your sort order is saved for you only. Which reports exist, and which columns they show, is your company’s own setup.
Before you start
Section titled “Before you start”- You need the Read right on the reports row of your rights, and the Read right on the report’s module. Your user administrator sets this.
- The Reports list shows only reports on modules where you have the Read right. See “Why can’t I see or open a report?” below.
- Open a report in one of these ways:
- In the left menu, click Reports. The list shows each report’s Name, Description and Last updated. Type in the Filter box to find a report by name, and click the report.
- Click the report in one of your company’s menus.
- Open the module, for example your nonconformity module, and click the report in its menu, if your company has put it there.
- The report opens on the Index tab, with one row per document. The columns are the fields chosen for the report, for example Title, Created, Last updated, Status, Responsible and Id, followed by fields from the module.
- Click a column header to sort by that column. An arrow shows the direction; click again to reverse it.
- Click a row to open that document.
- Use the page links at the bottom to move through the list. A report shows 10 documents per page unless it has been set to 20 or 50; on a computer screen, the buttons 10, 20 and 50 under the table change the number of documents per page.
What you should see
Section titled “What you should see”The report shows the documents that match the report’s own settings, sorted the way you chose. Next time you open the report, your sort order is still there. Other users are not affected by your sort.
Good to know
Section titled “Good to know”- Favourites. The star next to the report name (Add to favourites) adds the report to your favourites.
- Status column. The status shows the module’s own status names.
- Attachments. If the report has an attachments column, it shows the file names.
- Other tabs. Analysis shows charts made from the report; see Create an analysis with charts. For modules that use Read & understood, an Accept Contents Overview tab may also be shown. Settings is for the people who set up the report.
- New Document. The New Document button in the top bar starts a new document in the report’s module.
- Dates are shown as 16.06.2026 in Norwegian and 16/06/2026 in English.
Why can’t I see or open a report?
Section titled “Why can’t I see or open a report?”- A report is not in the list, or will not open. The Reports list shows only reports on modules where you have the Read right. Opening a report needs the Read right on the reports row of your rights and the Read right on the report’s module. If you open a report from a company menu without the Read right on its module, the report does not open, and a dialog lists your company’s users with the Admin level on the Super area row, whom you can ask. Your user administrator sets these rights.
- Export pdf is missing. Export pdf is shown only when PDF export is turned on for the report; see Export a report. Exporting needs no more than the Read right on the reports row.
- Documents you expect are missing. The report’s main filter and its choice of document types (new, in progress, completed, archived) apply to everyone, and you cannot widen them. Your own personal filters and search can also hide documents: your active personal filters are listed under Applied Filters, and the cross after each one removes it; see Search and filter a report for yourself. To change the main filter, ask someone who can change the report’s Settings.
