Answer an action you received
When someone sends you an environmental aspect action, you get an e-mail with the subject “An environmental aspect action is waiting for your input”. Open the aspect in Environmental aspects, click its row, choose Accept action and describe what you have done, or Reject action and explain why, then click Return response. The sender then closes the action or sends it back to you. Answering needs the Edit right on the Environmental aspects row, and only the person the action was sent to can answer it.
Before you start
Section titled “Before you start”- Environmental aspects appears in the left menu only if your company has the module and you have at least the Read right on its row. If you don’t see it, contact your user administrator. See The top bar and the left menu.
- You need the Edit right on the Environmental aspects row. To be chosen as responsible at all, you have the Approve right or higher, which includes Edit.
- Read the e-mail. It says “You have been assigned to fill out the action for this environmental aspect item.” and lists the Area, the Aspect, the Reason, who sent it (Sent by), the Due date and a Link. The link opens a view of the aspect.
- In ABMS, select Environmental aspects in the left menu, open the analysis and click the aspect’s row. The dialog for the aspect opens. The Controlling activity shows what the sender asks you to do.
- Choose your answer:
- Accept action, and write what you have done in Action description message.
- Reject action, and write why in Action rejection message.
- Click Return response.
What you should see
Section titled “What you should see”If you accepted, the aspect stays In progress and the sender gets an e-mail asking for their input. Your description appears in the Controlling activity column. If you rejected, the aspect gets status Open and the sender gets an e-mail with your message.
Good to know
Section titled “Good to know”- When the sender accepts. You get an e-mail with the subject “An environmental aspect action has been published” and the text “Your action was accepted.” The aspect gets status Closed.
- When the sender sends it back. You get an e-mail with the subject “An environmental aspect action was rejected” and the text “Your action was rejected with the following message:”, followed by the sender’s message. Open the aspect, write a new description in Action description and click Return response. This starts a new round.
- Earlier rounds. The dialog for the aspect lists each earlier round with your descriptions and the sender’s rejection messages.
- E-mail language. You get the e-mail in your own language.
- Not in the Action Manager. Environmental aspect actions are handled on the aspect, not in the Action Manager: they are not listed under Actions, and the action reminders under Super do not cover them; see Set up action reminders. If your company’s dashboard has the Actions awaiting your input box, environmental aspect actions waiting for you are counted there; see The dashboard.
