Set up PDF export of a report

To let users export a report as PDF, open the report’s Settings tab, go to PDF Export settings, give the export a name, choose up to five columns, check the preview and make sure Turn on pdf export is switched on. Users then see an Export pdf button next to Export xls. Your changes are saved automatically.

  • The report’s Settings tab is shown only to the report’s creator and to users with the Admin level on the Super area row, and only for a report on one module. Your user administrator sets the Admin level; see The Users page and the rights table.
  • The report must exist; see Create a report.
  • A PDF has room for few columns, so choose the most important ones.
  1. Open the report and click the Settings tab.
  2. Go to PDF Export settings.
  3. Type an Export name. It becomes the title of the PDF.
  4. Choose the columns, one per box (“Select column”), up to five.
  5. Check the Export preview table, which shows how the PDF will look.
  6. Make sure Turn on pdf export is switched on. When you change the export name or a column and leave the box, the switch is turned on by itself if the report has both an export name and at least one column. The switch can only be turned on when both are there; the question mark next to it says “Please select at least one column to be able to turn on the pdf export ability”.

Users who can open the report now see Export pdf in its top bar. The PDF has the export name as its title and the columns you chose. The file is named “Export_” followed by the date and time to the minute, for example Export_2026-06-16_14-30.pdf.

  • Automatic saving. There is no save button in PDF Export settings; changes are saved as you make them.
  • Deprecated fields. A column whose field has been removed from the module is marked “(deprecated)”. Choose another column.
  • Turning it off. Switch Turn on pdf export off again to hide Export pdf. If you later change the export name or a column and leave the box, the switch is turned on again by itself while the report has both. Removing the export name or every column turns it off by itself.
