Confirm that you have read a document

When a colleague asks you to confirm that you have read a document, open the document from the e-mail, the notification bell or your dashboard (if your company’s dashboard has the Actions awaiting your input box), read it, and click the green Accept contents button at the bottom of the page. The message “You have Read and accepted the contents of this document” confirms it. The person who asked can then see that you have confirmed. Until you confirm, you get a reminder e-mail once a week.

  • You need at least the Read right on the row of the document’s module. Your user administrator sets this.
  • You have a Read & understood request for the document. You can find it in three places:
    • the e-mail “A document is awaiting your accept”, which has a button with the document’s name;
    • the notification bell in the top bar: “You have been asked to read and accept the contents of the following document:” with a link;
    • Actions awaiting your input on your dashboard (if your company’s dashboard has this box), as a row titled Read & understood with the module name and the person who asked you.
  1. Open the document from the e-mail, the bell or the dashboard row. The message “You have been asked to read and accept the contents of this document” is shown.
  2. Read the document. The Accept contents button stays visible at the bottom of the screen until you scroll down to the end of the document.
  3. Click Accept contents.
  • The message “You have Read and accepted the contents of this document”. It is shown again when you reopen the revision you confirmed.
  • The request is gone from Actions awaiting your input, and you get no more reminders about it.
  • Opening the bell is not confirming. Opening the notification list marks the notification as read, but the request stays open until you click Accept contents in the document. See Read notifications.
  • Weekly reminders. Until you confirm, you get the e-mail “Reminder: A document is awaiting your accept” in the morning, once a week.
  • Cancelled requests. If the person who asked you cancels the request, opening the document shows “The request for your content accept has been cancelled, you do not need to take any action on this document.” You need to do nothing more.
  • A new revision. A request applies to the revision you were asked about. If a newer revision of the document is published before you confirm, the request can no longer be confirmed and its reminders stop. If you are asked to confirm the new revision, you get a new request.
  • Optional message. The person who asked may have added a message; it is in the invitation e-mail.
