Add, assess and follow up job steps

On the analysis page of a job safety analysis, add a job step with New item, or with the green + in the Insert column to place it right after another row. Click a score under Risk analysis or Residual risk to set consequence and probability for each category in the risk picker. Click the row to record the risk-reducing activity, the responsible person, the due date and the status. Adding and deleting job steps needs the Create right on the Job Safety Analysis row; changing them, assessing risk and moving rows needs the Edit right.

  • Job Safety Analysis appears in the left menu only if your company has the module and you have at least the Read right on its row. If you don’t see it, contact your user administrator. See The top bar and the left menu.
  • You need the Edit right to change job steps and the Create right to add or delete them. The buttons are shown to everyone who can open the analysis, but only these rights let the change through. Your user administrator grants them; see Give a user access rights.
  • Open the analysis by clicking its row on the index; see Find and read a job safety analysis.
  1. Click New item.
  2. Fill in Job step and Risk factor. Status starts as Open.
  3. Click Save. The job step is added at the end of the analysis.

To place a new job step right after an existing one, click the green + in the Insert column of that row instead. The dialog opens with the row’s job step and risk factor filled in and status Open; change them and click Save.

  1. Click a score under Risk analysis for the risk before any activity, or under Residual risk for the risk after it. The risk picker opens.
  2. Select the tab for a category: Personal, Asset, Environment or Reputation.
  3. Click the cell where the right probability (columns, under Most probable frequency of recurrence) meets the right consequence (rows, Most probable consequence). The cell gets a black border and a tick. Click the same cell again to clear the category.
  4. Repeat for the other tabs, then click Save. All four categories are saved at once; Close discards your choices.
  1. Click the row. The dialog for the job step opens.
  2. Fill in Risk Reducing Activity, choose Responsible and set Due date.
  3. Choose a Status: Open, Pending, No action, Closed or In progress.
  4. Click Save.
  • To move a job step, use the up and down arrows in the Move row column. Arrows move the row one place within the page.
  • To delete a job step, click the red icon in the Delete column. The confirmation names the job step; check that it is the one you mean, then click Yes.

For a job step, each category shows its score, consequence × probability (1 to 25), as a coloured badge; 0 means the category has not been assessed. The Responsible column shows the chosen person’s e-mail address.

  • In a job safety analysis, the risk analysis and the residual risk are independent. For a job step, saving the risk analysis does not change the residual risk, and the other way round. Set both.
  • Badges in the dialog save first. In the job step’s dialog, clicking a risk badge saves the dialog before the risk picker opens. After you save or close the picker, the dialog opens again with the saved data.
  • Who can be responsible. The Responsible list contains users with the Approve right or higher on the Job Safety Analysis row. If someone is missing, contact your user administrator.
  • No notifications. Choosing a responsible person or a due date sends no e-mail and creates no action; the fields are a record in the analysis.
  • Status is a record. In a job safety analysis, the status of a job step does not lock or change anything else.
