Add and assess aspects

On the aspect page of an environmental aspect analysis, add an aspect with New item, or with the green + in the Insert column to place it right after another row. Click a score under Aspect risk analysis to set consequence and probability for public health, legal, environment and reputation in the risk picker. Do this before you send an action: once the action is sent, the aspect’s status is In progress and the risk analysis can no longer be opened. Adding and deleting aspects needs the Create right on the Environmental aspects row; changing them, assessing risk and moving rows needs the Edit right.

  • Environmental aspects appears in the left menu only if your company has the module and you have at least the Read right on its row. If you don’t see it, contact your user administrator. See The top bar and the left menu.
  • You need the Edit right to change aspects and the Create right to add or delete them. The buttons are shown to everyone who can open the analysis, but only these rights let the change through. Your user administrator grants them; see Give a user access rights.
  • Open the analysis by clicking its row on the index; see Find and read an environmental aspect analysis.
  1. Click New item. The Add aspect item dialog opens.
  2. Fill in Area, Aspect, Potential Consequence and Cause.
  3. To link to a requirement, fill in Compliance or Regulations/Standards: type a name in the “Link name” box and an address in the “Link url” box, or click the folder button next to them and pick a document or a hub menu, which fills in the address. You type the name yourself.
  4. Leave Status at Open, or choose Pending.
  5. Click Save.

To place a new aspect right after an existing one, click the green + in the Insert column of that row instead. The Insert aspect item dialog opens with the row’s area, aspect, potential consequence and cause filled in. Change them, choose Open or Pending under Status and click Save. Do not choose No action or In progress in this dialog: with either status, the risk analysis cannot be opened and no action can be filled in for the aspect. If an aspect has got one of them this way, click its row, choose Open under Status and click Save.

  1. Click a score under Aspect risk analysis in the aspect’s row. The risk picker opens.
  2. Select the tab for a category: Public health, Legal, Environment Risk or Reputation Risk.
  3. Click the cell where the right probability (columns, under Most probable frequency of recurrence) meets the right consequence (rows, Most probable consequence). The cell gets a black border and a tick. Click the same cell again to clear the category.
  4. Repeat for the other tabs, then click Save. All four categories are saved at once; Close discards your choices.
  • To change an aspect, click its row, change the fields and click Save.
  • To move an aspect, use the up and down arrows in the Move row column. Arrows move the row one place within the page.
  • To delete an aspect, click the red icon in the Delete column. The confirmation names the aspect’s area; check that it is the one you mean, then click Yes. Deleting an aspect also deletes its actions.

For an aspect, each category shows its score, consequence × probability (1 to 25), as a coloured badge. The Residual risk columns show the same scores as the risk analysis until the action is accepted.

  • Residual risk follows the risk analysis at first. For an aspect whose action has not been accepted, saving the risk analysis also sets the residual risk to the same values. The residual risk can be set on its own only after the action is accepted; see Send an action and close it.
  • When the risk analysis is locked. For an aspect with status Closed, No action or In progress, clicking a risk analysis score does nothing, and Area, Aspect, Potential Consequence, Cause and the links cannot be changed in the dialog.
  • No action. In the aspect’s dialog, No action can be chosen once the risk analysis has been set. It hides the action fields, so no action is sent for the aspect. For an aspect with No action whose action has not been accepted, the residual risk stays the same as the risk analysis and cannot be set on its own.
  • Saving creates a draft action. The first time you save the dialog of an aspect that has no action and a status other than No action, ABMS also creates a draft action for it. This needs the Create right.
  • Badges in the dialog save first. In the aspect’s dialog, clicking a risk analysis badge saves the dialog before the risk picker opens.
