Copy, reorder, flag and delete risk elements

On the analysis’s Risk tab, each row has its own controls. The copy icon copies a risk element, either into the same analysis directly below the original or into other analyses. The drag handle in the first column moves an element within the analysis’s custom order. The Top 10 checkbox flags an element as one of the most important risks. The trash icon deletes an element; it is offered only for elements with status Open or No action.

  • Risk management appears in the left menu only if your company has the module and you have at least the Read right on its row. If you don’t see it, contact your user administrator. See The top bar and the left menu.
  • The copy and trash icons are shown to users with the Edit right on the Risk management row. Copying within the analysis and deleting need the Create right; without it the copy or deletion is not carried out. Copying to other analyses works for everyone who sees the copy icon. Moving rows needs the Edit right. Your user administrator grants these rights; see Give a user access rights.
  • Top 10 can be ticked by anyone who can open the analysis.
  • While a status filter is active, the copy and trash icons are hidden in view mode and rows cannot be moved. Clear the filter first; see the status filter in The risk-element table.
  1. On Risk, click the copy icon at the end of the row. A copy dialog opens with the row’s risk area, risk factor, potential consequence, cause, existing barriers and actions / comments filled in.
  2. Change the texts if needed, and choose the status for the copy. It starts as Open.
  3. Choose where the copy goes:
    • Into this analysis: click the copy button at the bottom of the copy dialog. The new element is placed directly below the original.
    • Into other analyses: click the copy-to button at the bottom of the copy dialog. A list of your other analyses opens. Click each analysis you want to copy to (click again to deselect), then click the copy button at the bottom of that list.
  1. If the table is sorted by a column, click the undo icon in the first column’s header (tooltip “Return to custom order”). This removes the sorting and any search. Do not use the icon at the top of that header (tooltip “Return to initial order”): it sorts by creation order instead.
  2. Drag the row by its handle in the first column and drop it where you want it. You can move rows in both view mode and edit mode, and across pages.
  1. Tick the Top 10 checkbox on the row. Untick it to remove the flag.
  1. Check that the element’s status is Open or No action.
  2. Click the trash icon at the end of the row.
  3. Read the confirmation Delete risk management item, “Are you sure you want to delete risk management item” followed by the element’s risk area, and confirm. Deleting cannot be undone.
  • Copy: the dialogs close and the table reloads. A copy within the analysis appears directly below the original. No message is shown.
  • Move: the row stays where you dropped it, for every user who views the analysis in custom order.
  • Top 10: the change is saved at once, without a message. In view mode, flagged rows are highlighted.
  • Delete: the row disappears and the rows below it move up.
  • Linked actions go too. If a deleted risk element still has actions linked to it, they are deleted in Action Manager as well; the confirmation does not mention this. Deleting a whole analysis does the same for all its risk elements; see Copy or delete a risk analysis.
  • Which elements can be deleted. For a risk element, the trash icon is shown only when its status is Open or No action. Elements with status Pending, Actions in progress or Actions completed cannot be deleted. On a blank row that was never saved, the trash icon is disabled with the tooltip “No need to delete, blank rows aren’t saved”.
  • What a copy includes. A copied risk element gets the texts and the status chosen in the dialog. It does not get the original’s original and residual risk values, files and links, linked actions or Top 10 flag. The copy dialog also offers Actions in progress as a status; a copy given that status has no linked actions.
  • Copy to other analyses. The list of analyses follows your saved filters on Index, so an analysis hidden by those filters is not offered. An analysis without a title is listed as “Area is missing”.
  • Sorted order and custom order. Clicking a column header sorts all the analysis’s elements, across all pages, and the sorting is saved for you on that analysis. Each click switches between ascending and descending. If the order is the wrong way round after your first click on a column, click the header again. You can sort by Risk area, Risk factor, Potential consequence, Cause, both Sum columns, Status, Created, Updated at and Top 10. The custom order is the manual order the rows are dragged into, and it is shared by everyone.
  • Return to initial order. The icon at the top of the first column’s header (tooltip “Return to initial order”) sorts the elements in the order they were created. A copy made within the analysis counts as created directly after its original.
  • When moving is blocked. Rows can be moved only in custom order, with no status filter and no search. Otherwise the drag handle shows “Please return to Custom order to move items”. Blank rows cannot be moved. If you lack the Edit right, a move is refused with the message “Error ordering” and the list reloads.
  • More than ten. The checkbox does not stop you from flagging more than ten elements. In the Excel export, flagged elements are marked with an X.
