Set the document statuses for a module
The status a document shows in lists, reports and its header comes from the section it has been approved in. To choose it, go to Super > Modules, open the module and click the blue Status button. Pick a section under “Select Section” and a status under “Select Status”; the choice is saved at once. If the status name you need does not exist yet, add it first on the module’s Admin tab under Available statuses.
Before you start
Section titled “Before you start”- You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this; see The Users page and the rights table.
- The list of status names is shared by all modules in your company. Adding a status makes it available to every module; renaming or deleting one affects every module that uses it.
- Know which sections the module has and what each one means; see Workflow steps, statuses, receivers and notifications.
Steps: add a status name (if needed)
Section titled “Steps: add a status name (if needed)”- In the left menu, click Super > Modules, and click the module in the list.
- Click the Admin tab. The section Available statuses lists every status in your company.
- Click “+”. The panel Add new value opens.
- Type the name in English and in Norwegian, and click Add value. The status is added to the list at once.
To rename a status, click it in the list, change the text in the panel Update, and click the Update button. Use the button: pressing Enter in these boxes adds a new status instead.
Steps: choose the status for each section
Section titled “Steps: choose the status for each section”- In the module editor, click the blue Status button at the top.
- Under “Select Section”, click the section number, for example 1 for the first section.
- Under “Select Status”, click the status that section should give. Choose None to give it no status. The choice is saved at once.
- Repeat for the other sections, and click Close.
What you should see
Section titled “What you should see”Documents in the module show:
| Situation | Status shown |
|---|---|
| The document is at its first step | New |
| A step has been sent but not yet approved | The earlier status followed by “- Waiting For Approval” |
| A section has been approved | The status you chose for that section |
| The section has no status | “Status not set in module” |
The statuses show in lists, reports and the document header, and can be used by the status filter in KPI scorecard rows.
Good to know
Section titled “Good to know”- Deleting a status. The x next to a status under Available statuses deletes it at once, without asking, if no module uses it. If a module uses it, the dialog Can’t delete value lists the modules, and the status is kept.
- Changed sections. The choices are stored for the number of sections the module has now. If Antenor later adds or removes sections in the module, set the statuses again.
- Starting statuses. Which statuses a module comes with depends on how Antenor set it up.
- Sections and workflow. Adding or removing sections, and changing the workflow, is done by Antenor. Contact Antenor to change them.
