Use the competency report

The competency report shows one row per person and one column per competency you choose, so you can see at a glance who has which competencies and at what level. Open Competency, click the Report tab, choose the columns with Capsules and Competencies, narrow the list with Filter and the status toggles, and choose under Data displayed what each cell shows. Your choices are saved for you and come back next time.

  • The Report tab needs the Approve right (or higher) on the Competency row, or, for users who have only the Read right, the View Report right. Your user administrator sets the Approve right; the View Report right is given in the Competency Admin tab by users with the Manage right or higher. See Give managers access to people in Competency.
  • With Approve, the report shows your own record and the people within your responsibility. With Manage or higher, it shows everyone. With the View Report right, it shows all active people; you cannot open a person’s details from the report, but you can expand the name column to see each person’s phone, e-mail and next of kin, and these fields are included in the export.
  • With the Approve right, the Report tab is greyed out until a responsibility has been assigned to you (this does not apply if you also have the View Report right). Responsibilities are assigned in the Competency Admin tab by users with the Manage right or higher; ask one of them.
  1. Open Competency and click the Report tab.
  2. Click Capsules and tick the capsules you want. Each capsule adds its competencies as columns, grouped under the capsule’s name.
  3. Click Competencies and tick any further competencies you want as columns. Competencies that are not in a selected capsule are grouped under “Selected competencies outwith a capsule”.
  4. Optionally click Filter, choose what to filter on (for example a competency, level, wanted level, expire date, planned date, performed date, capsule or one of your global fields) and set the value. For a text filter, type the text and click Add filter or press Enter. The active filters are listed under Applied Filters; click the x on a filter to remove it.
  5. Under Status filter, switch off the statuses you do not want to see. All statuses are on by default.
  6. Under Data displayed, choose what each cell shows: Planned date, Performed date, Expire date, Level or None.
  7. To sort, click the Name column header, or click a competency’s column header to sort the people by that competency.
  8. With the Approve right or higher on the Competency row, click a person’s name to see their full record. Their details page opens in a new browser tab. With only the View Report right, names are not clickable.
  9. To take the report out, click Export to excel.
  • One row per person and one column per selected competency.
  • With Level (the default), each cell shows the person’s actual level and wanted level as “actual/wanted”, for example 3/4. Hover over the numbers to see which is Actual level and which is Wanted level.
  • Every cell also has a coloured dot that shows the status of that person’s competency.
  • The list shows 10 people per page by default.
  • Export to excel downloads a file named CompetencyReport.xlsx. It has one sheet with the values chosen under Data displayed (no such sheet when None is chosen) and a sheet named “Status” with the statuses. The columns are name, phone, e-mail and next of kin, followed by the selected competencies. The export follows your filters.

The competency report showing expiry dates for selected competencies

  • No data. If every status toggle is switched off, the report shows nothing. Switch at least one back on.
  • People who have left. A person whose end date has passed is not included in the report.
  • Saved per user. Your capsules, competencies, filters, status toggles, data choice and sort are saved for you only. They do not change the report for anyone else.
  • More about the person. Click the expand button next to a name to see the person’s phone, e-mail and next of kin. You can also sort by these.
  • Favourite. Click the star (Add to favourites) to add the Report tab to your favourites.
  • Every control on the tab is described in The Report tab.
