Transfer ownership of a user's items
When someone leaves or changes role, move their items in progress to a colleague on the Ownership transfer page: pick the user, tick the items in each panel, choose who should take them over, and click Transfer selected. The new owner gets one e-mail listing the items. The transfer moves ownership only; it does not give the new owner access rights.
Before you start
Section titled “Before you start”- You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this; see The Users page and the rights table.
- Check that the new owner has the rights they need in each module, for example Edit or Approve; see Give a user access rights.
- In the left menu, click Super > Ownership transfer.
- Pick the user to transfer from (tooltip: “This is the selected user to transfer ownership of items from”).
- The page shows five panels: Documents (grouped by Module:), Actions (grouped by the module the action belongs to, for example risk management, independent actions or equipment), Equipment responsible, Competency responsible and Env. Aspect actions. Everything in the panels can be transferred. Within a panel, the items are listed in one table per module (per organisation in Competency responsible); each item’s name is a link that opens it. A panel with nothing in it says so.
- Tick the items to transfer: one by one, all items in a module’s table with the checkbox in its header (tooltip Select all), all items in a panel with the panel’s Select/Deselect all, or every item on the page with Select/Deselect all at the top.
- Choose the new owner in one of the new-owner boxes. There is one at the top of the page (“Select assignee for selected items”), one per panel, one per module table (“Select assignee for this module”) and one per item. A box sets the new owner for every item below it; you can then change single items in their own box. Only active users of the same company as the selected user are offered.
- Click Transfer selected. It is disabled until at least one selected item has a new owner.
- Confirm in the Confirm ownership transfer dialog. It reminds you: “This will transfer ownership only.” The new owner does not automatically get access to the items.
What you should see
Section titled “What you should see”The message “Selected items transferred successfully” confirms the transfer, and the items disappear from the user’s panels. The new owner gets one e-mail, “Items reassigned to you”, listing the items by type. For a document, the new owner becomes the receiver of the step the old user held.
Good to know
Section titled “Good to know”- Deleting a document at its first step. A document in the Documents panel that is still at its first step has a trash icon (tooltip Delete). Confirm “Do you really want to delete this document? This procedure is not reversible!” with Yes; you see “Document deleted successfully”. The document and its actions are deleted, and this cannot be undone. A document with an active external link cannot be deleted: “This document cannot be deleted because it has an active external link. Please wait for the link to expire or deactivate it first.” See also Delete or archive a document.
- Deactivating afterwards. Once nothing is left, Deactivate user on the same page deactivates the user; it stays disabled while items remain. For a deactivated user the page shows Reactivate user. See Deactivate or reactivate a user.
- Back. Back to user page returns you to Super > Users.
- Access. The transfer does not give rights. What the new owner can do with an item depends on their rights in that module, so give them the rights first.
