Ownership transfer: what moves for each kind of item
This page lists, for each panel on Super > Ownership transfer, which items the panel shows, what changes when an item is transferred, and what the new owner is told. The page and its controls are described in The Ownership transfer page, and the steps in Transfer ownership of a user’s items. Transferring items needs the Admin level on the Super area row of your rights, the level that shows the Super menu; see The Users page and the rights table. A transfer never gives the new owner access rights: to open and work on a transferred item, the new owner needs the rights for it, for example a right on the module’s row. Give missing rights under Super > Users; see Give a user access rights.
Which items each panel shows
Section titled “Which items each panel shows”| Panel | An item is listed when | Grouping and names |
|---|---|---|
| Documents | The document is not published, and the selected user owns the current step of its latest revision. At most the 200 most recently created such documents are listed at a time; older ones are listed when the page is shown again after some of these have been transferred. | One table per module. A document without a title is listed as “Unnamed Document”. |
| Actions | The action is not closed, and it is waiting for the selected user: an action at status new that the user created, or an action whose latest step was sent to the user. | One table per module the action belongs to; actions that belong to no module are in the table Independent actions. An action without a title is listed as “Unnamed action”. |
| Equipment responsible | The selected user is Responsible for the equipment item, whether the item is active or inactive. | One table, sorted by name. An item without a name is listed as “Unnamed equipment”. |
| Competency responsible | The selected user is responsible in Competency for a title or for a value of a global field, such as a department. | One table per title list or global field, headed Organisation: and its name. The link opens the Competency Admin tab. |
| Env. Aspect actions | In an environmental aspect item, the latest action that involves the selected user is waiting for them, as its sender or as its responsible. | One table per environmental aspect analysis, named after its area. |
Only these five kinds of item can be transferred on the page. They are also the items that block deactivating the user.
What changes when an item is transferred
Section titled “What changes when an item is transferred”| Kind of item | What the transfer changes | What stays the same |
|---|---|---|
| Document | The new owner becomes the owner of the document’s current step and its receiver, as if the step had been sent to them. | The document’s content, its step and its earlier history. |
| Action | The new owner takes the selected user’s place in the action: as its creator, if the selected user created it; as its responsible; and in the steps of the action’s flow that the selected user sent or received. The action’s log gets an entry saying who transferred it to whom. | The action’s content, due date and checklist. |
| Action the selected user had sent to themselves | As for other actions; in addition, the action becomes an ordinary sent action from the new owner to the new owner, so the new owner must accept it before working on it, as for an action they receive. | |
| Equipment item | The new owner becomes the item’s Responsible, and from then on gets its reminder e-mails. | The item, its records and its other fields. |
| Competency responsibility | The responsibility for the title or global-field value moves to the new owner’s Competency record. If the new owner has no Competency record, one is created for them. If the new owner already has the same responsibility, the selected user’s copy of it is removed. | Other responsibilities of the selected user that you did not select. |
| Environmental aspect action | In the item’s latest action that involves the selected user, the new owner takes the selected user’s place as its sender, its responsible, or both. | The aspect analysis and its items. |
Only selected items with a new owner are transferred. Items left unselected stay with the selected user.
