The Ownership transfer page

Super > Ownership transfer moves a user’s items in progress to other users, for example before the user is deactivated. You pick the user, select items in panels, choose a new owner and transfer. The transfer moves ownership only; it does not give the new owner access rights. You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this; see The Users page and the rights table.

Control What it does
User picker Picks the user to transfer from. Tooltip: “This is the selected user to transfer ownership of items from”.
Select/Deselect all Selects or deselects every item on the page.
New-owner box (“Select assignee for selected items”) Sets the new owner for every item in every panel.
Transfer selected Transfers the selected items to their new owners. Disabled until at least one selected item has a new owner, with the tooltip “Ensure both recipient and items are selected to activate button”.
Deactivate user Deactivates the user. Disabled for yourself and while the user still has items.
Reactivate user Shown instead for a deactivated user; reactivates them.
Back to user page Returns to Super > Users.

The page has five panels, one per kind of item the user has in progress:

  • Documents: the documents the user has in progress, in one table per module headed Module: followed by the module name.
  • Actions: the user’s actions, in one table per module the actions belong to: Competency Management, Equipment Management, Independent actions, Risk management and Substance register.
  • Equipment responsible: the equipment items where the user is Responsible.
  • Competency responsible: the user’s competency responsibilities, in one table per organisation headed Organisation: followed by its name.
  • Env. Aspect actions: the user’s environmental aspect actions.

All of these items can be transferred on this page. These are the items that block deactivation until they are transferred. For equipment, you can also change Responsible on the item itself; see The equipment page.

Element What it does
Panel heading The kind of item.
Select/Deselect all in the panel Selects or deselects every item in the panel. Shown only when the panel has items.
New-owner box for the panel Sets the new owner for every item in the panel. Shown only when the panel has items.
Table One table per module (per organisation in Competency responsible), with the heading described above. The checkbox in the header (tooltip Select all) selects every item in the table.
New-owner box for a module (“Select assignee for this module”) Sets the new owner for every item in the module’s table.
Item row A checkbox that selects the item, and the item’s name as a link that opens it; an action opens in the action dialog.
Trash icon (tooltip Delete) Only on documents in the Documents panel that are still at their first step. Deletes the document; see “Deleting a document” below.
New-owner box for an item Sets the new owner for that item only.
Empty panel Says that there are no items.

The new-owner boxes work from the top down: a box sets the new owner for every item below it, selected or not, and you can then change a module or a single item in its own box. Only items that are selected are transferred. The boxes offer the active users of the same company as the selected user; users from other companies are not offered.

The trash icon on a document at its first step deletes the document. The dialog asks “Do you really want to delete this document?” and warns “Do you really want to delete this document? This procedure is not reversible!”, with Cancel and Yes. After Yes, you see “Document deleted successfully”, and the panels are reloaded. The document is deleted together with its actions; this cannot be undone.

A document with an active external link cannot be deleted: “This document cannot be deleted because it has an active external link. Please wait for the link to expire or deactivate it first.” For other ways to delete a document, see Delete or archive a document.

Transfer selected opens the Confirm ownership transfer dialog. It reminds you: “This will transfer ownership only.” The new owner does not automatically get access to the items, so check their rights first; see Give a user access rights.

After confirming:

  • the message “Selected items transferred successfully” is shown
  • the new owner gets one e-mail, “Items reassigned to you”, listing the items by type
  • for a document, the new owner becomes the receiver of the step the old user held

If some items could not be moved, you see “Some items couldn’t be moved. Please contact ABMS support”.
