Follow a document
To follow a document, open it and click the bell in the document’s button bar (tooltip Click to subscribe to updates on this document). This is not the notification bell in the top bar of the page. The button-bar bell fills in to show that you are subscribed. From then on you get an e-mail each time the document is published, including every later revision. Click the bell again to stop following it. You can follow any document you can open, as long as you also have the Read right on the main area row, which every user gets by default when their account is created.
Before you start
Section titled “Before you start”- You must be able to open the document. You also need the Read right on the main area row, which is separate from the rights on the module and which every user gets by default when their account is created. If the bell is missing, ask your user administrator.
- Following is per document. There is no way to follow a whole module.
- Open the document.
- Click the bell (tooltip Click to subscribe to updates on this document) in the document’s button bar, not the notification bell in the top bar.
To stop following, click the filled bell again (tooltip Click to unsubscribe to updates on this document).
What you should see
Section titled “What you should see”The bell changes at once to a filled bell. There is no dialog and nothing to save. When you stop following, it changes back to an outline bell.
When you get an e-mail
Section titled “When you get an e-mail”For a document you follow, you get an e-mail when:
- the document is approved at its last step and published;
- the document is saved as an observation, which publishes it at once;
- a form returned by someone outside ABMS publishes the document directly (this depends on how your company has set up the module).
The e-mail has the subject “Document updated”, says that a document you subscribe to has been updated, names its title, and has a View document button that opens it.
You do not get an e-mail when the document is sent between steps, rejected, commented on or edited without being published.
Good to know
Section titled “Good to know”- All revisions. Following covers the document, not one version of it. When someone edits a published document and the new revision is published, you get an e-mail again. See Edit a published document and see earlier revisions.
- Your own publishing. Everyone who follows the document gets the e-mail, including the person who published it. If you follow a document and publish it yourself, you get the e-mail too.
- Archived documents. The bell is also shown on archived documents you can open, so you can follow or stop following them too.
- E-mail only. Following sends e-mails. It adds nothing under the notification bell in the top bar; that bell is for mentions, comments, announcements and Read & understood requests. See Read notifications.
- Favourites are separate. The star next to the bell adds the document to your favourites on the dashboard; it does not send e-mails. See Use favourites.
