Give managers access to people in Competency

A user with the Approve right on the Competency row sees only their own record until you make them responsible for a title or a global-field value. Do this in the Access Right section of the Admin tab: choose Title or a global field, click the pencil next to a value, tick the users under Available users and click Assign selected users. The user then sees, and can edit, everyone with that title or value. To let someone see the report without any other access, use View Report under Other rights in the same section.

  • You need the Manage right or higher on the Competency row; the Admin tab in Competency is shown from that level upward.
  • The manager must be an active person in Competency (no end date, or an end date today or later), linked to an ABMS login, and their login must have the Approve right or higher on the Competency row. For View Report, the login must have exactly the Read right on the Competency row. Your user administrator sets these rights; see Give a user access rights.
  • The values to assign are your titles and the values of the global fields your company uses in Competency. Titles are kept in the Organisations section of the same tab; see The Competency Admin tab.

Make a manager responsible for a title or value

Section titled “Make a manager responsible for a title or value”
  1. Open Competency, go to the Admin tab and open the Access Right section.
  2. Under Select Dropdown, click Title or the global field you want to use, for example a department. The table lists every title, or every active value of the field, with the Responsible users already assigned to it.
  3. Click the pencil (tooltip Edit) on the row of the value. The dialog “Responsible users - <value>” opens, with Assigned users on the left and Available users on the right.
  4. Under Available users, find the manager. Type in “Search users…” to filter by name. The question mark explains who is listed: “To add users to this list, go to the system’s access rights page (super -> users) and add minimum the Approve access level to the users.”
  5. Tick one or more users. A counter shows how many you have ticked.
  6. Click Assign selected users. The message “The access right has been added” appears, and the users move to Assigned users.
  7. Click Close (or the ×) to close the dialog. Repeat for each value the manager should cover.
  • In the same dialog, click the trash icon next to a user under Assigned users. The user is removed at once, with the message “The access right has been removed”.
  1. In the Access Right section, under Other rights, click View Report. The question mark explains: “In this section people who otherwise do not have access to the report tab can be given access to view the report. They will not be able to edit any data, nor will they be able to view user information data.” In practice, holders cannot edit anything or open a person’s details page, but in the report they can expand the name column to see each person’s phone, e-mail and next of kin, and export those fields.
  2. Under Select Responsible User, find the person; the search box (placeholder “Search”) filters by name. The list shows active people in Competency whose login has exactly the Read right on the Competency row. A tick marks those who already have View Report.
  3. Click a person to tick them. The message “The access right has been added” appears. Click a ticked person again to take the right away (“The access right has been removed”).
  • Responsible users on the value’s row lists the assigned users’ names.
  • A manager with the Approve right now sees, on the User information, Report and Analysis tabs, their own record plus every person whose title or global-field value is one they are responsible for, and can edit those people’s records and competencies. A person who matches any one of the manager’s assignments is included.
  • A person with View Report sees the Report tab with all active people. They cannot open a person’s details from it, but they can expand the name column to see phone, e-mail and next of kin, and export those fields. Nothing else changes for them.
  • Without any assignment, an Approve user sees only their own record, and the Report and Analysis tabs are greyed out (the Report tab is not greyed out if they also have View Report).
  • Manage or higher already sees everyone in Competency, so assigning such a user changes nothing in which people they see.
  • Assignments are removed automatically when the responsible user’s own end date is saved as a date that has passed, and when a title is deleted. Setting the end date back does not restore them; assign them again.
  • View Report is only for Read users. Users with the Edit or Create right cannot get View Report; to see the report, they need Approve or higher.
  • Only people with a login appear. People in Competency who are not linked to a login to ABMS can never be responsible users or get View Report.
  • No users to choose? Check that the person has an active Competency record linked to an ABMS login, that the login has Approve or higher on the Competency row, and that the person is not already assigned. Your user administrator can check the record and rights.
