Add attachments to a document

You add files to a document in edit mode, in one of three ways: click the paper clip in the button bar, drag the files onto the document, or use an upload field in the form if the module has one. On a phone you can also take a picture with the camera. All files are listed on the document with their source and uploader. The steps are the same in every standard document module, for example Avvik or Leverandørgodkjenning (your company’s own module names); the fields, sections, statuses and receivers depend on your company’s setup, including whether the form has an upload field.

  • You must own the current step of the document, so that it opens in edit mode. Only the owner of the current step can change it.
  • For a document you have received, open it first with the green button.
  • You need the Edit right on the module’s row, set by your user administrator.
  • A published document in a module with revisions takes new files through a new revision; see Edit a published document and see earlier revisions. In a module without revisions, a published document does not open in edit mode; instead, the Attachments view at the bottom of the published document has Add attachment and an area to drop files, for users with the Admin level on the Super area row and users set up in the module’s workflow as possible receivers of one of the document’s steps. See The Log, Attachments, Actions and External views.
  1. Open the document in edit mode. A new document opens in edit mode directly; for a document you saved earlier, click the pen in view mode.
  2. Add the files in one of these ways:
    • Click the paper clip (Click to add attachment or drag files to upload) and choose the files.
    • Drag the files from your computer onto the document.
    • If the form has an upload field, use that field.
    • On a phone, choose the camera when the file picker opens.
  3. Continue filling in the document, then save it with the floppy disk (Save and continue later) or send it with the paper-plane button (Send for approval).

The files appear on the document. The Attachments view at the bottom of the page lists every file with:

  • its file name
  • how it was added (Source): “Direct upload”, “Upload field”, “Table field”, or “wysiwyg” for a file uploaded through the text editor
  • the revision it was added in (Revision), so a file carried along from an earlier revision shows that revision’s number
  • who uploaded it
  • Earlier revisions. When a published document gets a new revision, files from earlier revisions are carried along and marked as coming from a revision. See Revisions and the info panel.
  • Deleting an attachment. You delete an attachment from the document’s attachment list. The owner of the current step can do it. In modules without revisions, some other users can also delete attachments on a published document, depending on their rights; ask your user administrator. An attachment whose image is used in the text of a text editor field cannot be deleted from the list until the image is removed from the text.
  • File size. Files uploaded through a text editor field, or in a table cell, can be up to 20 MB each; see Write and format a document.
  • Deleting the document. Deleting a document at its first step also deletes its attachments; see Delete or archive a document.
