Revisions and the info panel
A published document in a standard document module can be changed in one of two ways, depending on the module: through a new revision, or by changing single fields on the published version. The info panel, opened with the info icon (i) on the document page, lists the revisions and shows the document’s key facts. Whether a module uses revisions is part of your company’s setup, as are its sections and fields; the examples use an Avvik module (module names are your company’s own, here from a Norwegian setup).
Modules with revisions
Section titled “Modules with revisions”A revision is one complete pass of the document through the workflow, from the first section to publishing. The first pass is the original document.
To change a published document, click the big pen in the view-mode button bar. A new revision is created. It starts again at the first section and goes through the same steps, receivers and e-mails as a new document. The published version stays visible to everyone until the new revision is published. When the new revision is published, everyone who subscribes to the document gets an e-mail.
Who can start a revision. You need the Edit right on the module’s row, and the document must not be archived.
Revision in progress. If someone else already has a newer revision that is in progress or waiting for approval, the big pen is still shown, but clicking it shows a message saying that a newer revision exists, and by whom, instead of edit mode. Wait until it is published, or contact that person.
Deleting a revision. While a new revision is at its first section, the trash button in edit mode deletes only that revision, not the document; its tooltip then says “Delete revision”. The rules are in Delete or archive a document.
Modules without revisions
Section titled “Modules without revisions”A published document has no big pen. Instead, a small pencil is shown in view mode next to the fields of a section for users with the Admin level on the Super area row, and for users set up in the module’s workflow as possible receivers of that section’s step, of the next step or of a later step. Fields that make other rows of the form appear or disappear have no pencil. Click it to change that field directly on the published document; one field is saved at a time, and no new revision is made. Click the floppy disk next to the label to save, or the red cross to cancel. Saving the change needs the Approve right on the module’s row, or the Admin level on the Super area row.
The info panel
Section titled “The info panel”Open it with the info icon (i) at the left of the view-mode button bar.
| Item | What it shows |
|---|---|
| Latest update | The date the document was last updated, on published documents. For a published document, Latest update changes when a revision of it is published and when a field is changed directly on the published document in a module without revisions. Attachments, comments, subscriptions, Read & understood, actions and archiving do not change it. |
| Revisions | The list of revisions, newest first, with the original document as the last line. Each line shows “Revision:” and the revision number (in English in both languages), the state of that revision and, for a published revision, the date it was published; the last line shows Original document instead of the number. Click a revision to open it in a new browser tab. See Document states, status texts and the revision list. |
| Approved by | Who approved the document. |
| Id | The document’s short ID, eight characters. Click it to copy it, for example to refer to the document in an e-mail. |
| Archive details | Shown on archived documents. |
In the info panel, dates follow your language: 16.06.2026 in Norwegian, 16/06/2026 in English.
Attachments across revisions
Section titled “Attachments across revisions”Files from earlier revisions are carried along and marked as coming from a revision in the document’s list of attachments. See Add attachments to a document.
