Create a document and send it for approval
To create a document, open the module in the left menu and click the entry New followed by the module name under it. Fill in the title and the required fields of the first section, then click the paper-plane button (Send for approval), choose the receiver and click Send. The steps are the same in every standard document module, for example Avvik, Kundetilfredshet or Leverandørgodkjenning; the module names, fields, sections, statuses and receivers depend on your company’s setup, so your form will look different from the Avvik example used here, which comes from a Norwegian setup.
Before you start
Section titled “Before you start”- You need the Create right on the module’s row. Your user administrator sets this per module; see Workflow steps, statuses, receivers and notifications.
- If you are the only possible receiver of the next step, the send button stays disabled; use the green check (Approve) instead, as described under Good to know.
-
In the left menu, open the module, for example Avvik.
-
Under the module, click New followed by the module name. The new document opens directly in edit mode, at its first section.
-
Type a title in the box that says “Enter title here”.
-
Fill in the fields of the section. Fields marked with * (tooltip Required) must be filled in. See Fill in the fields of a document.
-
If you have files to add, click the paper clip (Click to add attachment or drag files to upload), or drag the files onto the document. See Add attachments to a document.
-
Click the paper-plane button. It is disabled until the title and the required fields are filled; until then its tooltip is “This button will become active once all required fields are filled in”.

-
In the Send or approve dialog, choose the receiver in the receiver dropdown, in the example Avvik module Mottaker. The other dropdowns your company’s workflow defines, in the example Høring or Informer, add people who are consulted or informed; fill them in if needed.
-
Optionally type a Message for the receiver.
-
Click Send.
If you are not ready to send, click the floppy disk (Save and continue later) instead. The document stays with you and appears in Your in progress documents on your dashboard.
What you should see
Section titled “What you should see”You return to the dashboard or the page you came from. The receiver gets an e-mail with your message, and the document appears in their Documents awaiting your approval box. On your dashboard it appears in Documents sent for approval. In lists, its status shows the status of the section you sent it from, followed by “ - Waiting For Approval” (from the first section: “New - Waiting For Approval”), until the receiver takes the document over with the green button.
Good to know
Section titled “Good to know”- Approve it yourself. If you are among the possible receivers of the next step, the green check (Approve) approves your step and gives you the next step yourself. If that next step is the last section, the document is published at once; otherwise you continue in the next section. Publishing needs the Approve right on the module’s row.
- Open actions. While the document has linked actions that are not closed, it cannot be published: the green check shows a dialog saying there are actions in progress. See Handle an action you received.
- Auto-save. Fields are saved automatically while you edit. The floppy disk saves and takes you back to view mode.
- Deleting. While the document is at its first step and nobody has received it, you can delete it; a document rejected back to you at its first step can be deleted too. See Delete or archive a document.
- Observation. Some modules let you publish at once as an observation; see Save a document as an observation.
