Edit mode: buttons, the send dialog, the required-fields dialog
Edit mode is where you fill in the section of a document that you currently own. A new document opens directly in edit mode at its first section, with a title box (“Enter title here”) and the section’s fields. Required fields are marked with * (tooltip Required). Only the owner of the current step can change it, and you need the Edit right on the module’s row. Module names, sections, fields and receiver names are your company’s own setup; the examples use an Avvik module from a Norwegian setup.
While you edit, fields are also saved automatically. How each kind of field is filled in and saved is described in The field types in a document form.
The edit-mode button bar
Section titled “The edit-mode button bar”At desktop width the buttons show icons only; the tooltip names them. From left to right:

| Button (tooltip) | When it is shown or enabled | What it does |
|---|---|---|
| ID (Click to copy) | Always. | Copies the document’s short ID. |
| Star (Add to favourites) | Always. | Adds the document to your favorites. |
| Paper clip (Click to add attachment or drag files to upload) | Always in edit mode. | Opens the file picker. You can also drag files onto the document, or use the camera on a phone. See Add attachments to a document. |
| Flag (Create new action) | Always in edit mode; disabled without access to actions, with the tooltip “Requires Action Manager access. Contact a superuser.” | Opens the dialog for a new action linked to the document. See Create an action and send it to someone. |
| Trash (Delete document) | Only at the first step, and only if the document has not been sent externally. | Deletes the document after a five-second countdown, under the rules in Delete or archive a document. |
| Floppy disk (Save and continue later) | Always. | Saves and returns to view mode. The document stays with you. |
| Observation button (“Clicking here will skip the next sections and publish the document”) | Only if the step allows skipping the remaining steps and, where the module has a risk field, its value is within the allowed range. | Publishes the document at once, skipping the remaining steps. Blocked while the document has linked actions that are not closed. See Save a document as an observation. |
| Forward | Only if your company has switched on forwarding for the step. | Sends the current section to another user to fill in; they can reject it back to you. |
| Paper plane (Send for approval) | For steps inside the company. Disabled until the title and the required fields of the section are filled, with the tooltip “This button will become active once all required fields are filled in”. | Opens the send dialog (below). |
| Send-externally button (Send externally) | Only for steps set up to be filled in by someone outside the company. | Opens a dialog for e-mail address, subject and message. The link is valid for 14 days. |
| Green check (Approve) | When you are among the possible receivers of the next step, or when you hold the last section. | On the last section, publishes the document. On an earlier section, approves your step and gives you the next step yourself: if that next step is the last section, the document is published at once; otherwise you continue in the next section. Publishing needs the Approve right on the module’s row and is blocked while the document has linked actions that are not closed. |
Not every module has the observation, forward or send-externally buttons. Where they appear, hover over the buttons to find them by their tooltips.
If you are the only possible receiver of the next step, the send button is disabled with the tooltip “There are no possible recipients for this document. Please approve the document yourself or contact super user.” Use the green check instead.
The send dialog
Section titled “The send dialog”Opens from the send button. The title is Send or approve.
| Control | What it does |
|---|---|
| One dropdown per receiver role | Your company’s workflow defines the receiver roles of the next step, and each dropdown carries your company’s name for one role. The receiver dropdown (in the example Avvik module, Mottaker) is the one you must fill in. The others, in the example Høring or Informer, add people who are consulted or informed. The e-mail goes to the person chosen in the receiver dropdown. You are listed first where you are eligible. |
| Message | Optional. Sent with the e-mail and shown to the receiver. |
| Send | Creates the next step for the receiver and sends the receiver an e-mail, unless you are the receiver yourself. You return to the dashboard or the page you came from. |
| Approve | Shown when you are also among the possible receivers. Works like the green check: approves your step and gives you the next step; the document is published at once if that step is the last section. |
Who can be chosen, and which e-mails are sent, is described in Workflow steps, statuses, receivers and notifications.
The required-fields dialog
Section titled “The required-fields dialog”In normal use the send button stays disabled until the required fields are filled. If the check still finds an empty required field when you send, for example in a part of the form that is hidden, a dialog lists it, with a Save as draft button.
Open actions
Section titled “Open actions”While the document has linked actions that are not closed, it cannot be published: the green check (Approve) and Observation show a dialog saying there are actions in progress. Each action must be closed first; see Handle an action you received and Action statuses, who holds an action, and e-mails.
