Insert a diagram in a document
You insert a diagram from the library into a text editor field, for example in a document, with the Insert Diagram button on the editor’s toolbar. Pick the diagram in the dialog and click Insert Diagram. What is inserted is a copy of the diagram as it looks at that moment: if the diagram is changed in the library later, the document keeps showing the old version. To show the new version, insert the diagram again.
Before you start
Section titled “Before you start”- You need access to Diagrams, through the Diagrams access group; see Get access to Diagrams. Without it, the Insert Diagram button is not on the toolbar.
- The diagram must exist in the library; see Create and edit a diagram.
- You must be able to write in the field: the document must be in edit mode, which means you own the current step and have the Edit right on the module’s row. See Write and format a document.
- Open the document in edit mode and click in the text editor field where the diagram should go.
- Click Insert Diagram on the toolbar. You can also choose Insert Diagram in the editor’s Document menu, or press Ctrl+D. The Insert Diagram dialog opens.
- Under Select Diagram, find the diagram. The list shows every diagram in the library with a thumbnail, name and description. Scroll down to load more.
- Click the diagram. It is shown under Preview.
- Click Insert Diagram at the bottom of the dialog. The button can be clicked once a diagram is selected.
What you should see
Section titled “What you should see”- The dialog closes, and the diagram is in the text, sized to the drawing.
- Everyone who can open the document sees the diagram. Readers do not need access to Diagrams.
- When the document is printed or saved as PDF, the diagram is included as an image, and links in the drawing still work.
Good to know
Section titled “Good to know”- A copy, not a live link. For a diagram inserted in a text field, later changes in the library do not reach the field. To update it, insert the diagram again and remove the old copy from the text. This is what the step Update later in the library’s help panel means.
- Deleting in the library does not remove it from documents. A diagram that has been inserted keeps showing in the document after the diagram is deleted from the library.
- No diagrams yet. If the library is empty, the dialog says “No diagrams yet”.
- Other text fields. The button is in the same text editor wherever it is used, not only in documents.
