Deactivate or reactivate a user
To deactivate a user who has left, go to Super > Users, pick the user and click Deactivate user. This is refused while the user still has items in progress; transfer those first on the Ownership transfer page. A deactivated user is marked “Deactivated” in the user picker, and their rights cannot be changed. Deactivation does not delete the user: you can reactivate them later with Reactivate user, on the Users tab or on the Ownership transfer page.
Before you start
Section titled “Before you start”- You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this; see The Users page and the rights table.
- You cannot deactivate yourself.
- The user must have no items in progress. These are the items listed on the Ownership transfer page, that is documents in progress, actions (including independent actions and actions in competency, risk management, substance register and equipment), equipment the user is responsible for, competency responsibilities and environmental aspect actions. If any remain, the message “This user has in-progress items” tells you to transfer them first; see Transfer ownership of a user’s items.
- For equipment, you can also change Responsible on each item instead; see The equipment page.
Steps: deactivate
Section titled “Steps: deactivate”- In the left menu, click Super > Users.
- On the Users tab, pick the user in the user picker.
- Click Deactivate user.
- If the user is also a user in the competency module, you can choose to deactivate them there as well (“Deactivate Competency user as well”).
- Confirm.
The message “System user deactivated” confirms it. If you chose to deactivate the Competency user as well, the message is “System user and corresponding competency user has been deactivated” instead.
You can also deactivate the user from the Ownership transfer page, once all their items are transferred; the Deactivate user button there stays disabled while items remain.
Steps: reactivate
Section titled “Steps: reactivate”- In the left menu, click Super > Users and stay on the Users tab, or click Super > Ownership transfer.
- Pick the deactivated user.
- Click Reactivate user. On the Users tab it is shown instead of Deactivate user when the picked user is deactivated.
The message “System user reactivated” confirms it. If the user’s person in Competency has an end date in the past, for example because you deactivated the Competency user as well, the end date is removed so the person is active in Competency again, and the message is “System user and corresponding competency user has been reactivated” instead.
What you should see
Section titled “What you should see”On the Users tab, a deactivated user is marked “Deactivated” in the user picker, Edit is disabled, Reactivate user is shown instead of Deactivate user, and their rights cannot be changed while they are deactivated.
Good to know
Section titled “Good to know”- Already deactivated. A user who is already deactivated cannot be deactivated again; reactivate them instead.
- Only deactivated users can be reactivated.
