Create and manage an access group
An access group gives the same rights to everyone in it. To create one, go to Super > Users, open the Access groups tab, choose Add new in Select group, and give the group a name and description. Then tick its members under User membership and set its levels under Access right management. A member gets the higher of their own rights and the group’s rights.
Before you start
Section titled “Before you start”- You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this; see The Users page and the rights table.
- Some groups are predefined: the group for all users, the Diagrams group and the actions group. They can be used like other groups but cannot be deleted. The Diagrams group is shown in the group list only to its own members, so if you are not a member you cannot see it or add anyone to it; see Get access to Diagrams.
Steps: create a group
Section titled “Steps: create a group”- In the left menu, click Super > Users, and open the Access groups tab. Until a group is chosen, the tab says “Please select an access group to proceed”.
- Open Select group and choose Add new.
- Type the group’s name. You can give it an English and a Norwegian name, so each user sees it in their own language.
- Type a description, which is shown with the group on the users’ membership lists.
- Save the new group with the save control in the Add new form. The group is now selected.
Steps: choose the members
Section titled “Steps: choose the members”- Choose the group in Select group. You can search with Search group.
- Under User membership, tick the users who should be members and untick those who should not.
- To include everyone, click Add all users to group; to empty the group, click Remove all users from group.
You can also tick a user’s groups from the Users tab, under the user’s group memberships.
Steps: set the group’s rights
Section titled “Steps: set the group’s rights”- With the group chosen, scroll to Access right management.
- On each row of the table (Module name, Access rights), choose a level: Read, Edit, Create, Approve, Manage, Archive or Admin. As a general rule each level includes all the lower levels (Read is the lowest, Admin the highest); a few features need one exact level, see Give a user access rights.
The Super area row is not in the group table; access to the Super menu can only be given to a user personally.
Edit or delete a group
Section titled “Edit or delete a group”The controls for renaming a group, changing its description or deleting it are in the Select group dropdown.
- Predefined groups cannot be deleted: “This is a predefined access group and it can’t be deleted”.
- Deleting a group also removes all its users from the group.
- Refusals. Deleting a group, or removing a user from it, is refused when a member is responsible in an active workflow, or is a competency responsible, through that group. The message tells you who; move their responsibilities first.
- The Diagrams group. This predefined group is the one exception for yourself: you cannot remove yourself from it.
What you should see
Section titled “What you should see”Members show the group’s level in the Group rights column of their rights table on the Users tab. Hovering over it shows the group’s name.
