The Access groups tab

The Access groups tab on Super > Users is where you create access groups, choose their members and set their rights. A group gives the same levels to everyone in it; each member gets the higher of their own rights and the group’s. You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this; see The Users page and the rights table.

Control What it does
Select group A dropdown of your company’s access groups. Until you choose one, the tab says “Please select an access group to proceed”. The predefined Diagrams group is listed only for its own members; see Get access to Diagrams.
Search group Searches the dropdown by name.
Add new Opens a form for a new group: a name, optionally an English and a Norwegian name, and a description, with a control to save the group.
Edit and delete controls In the Select group dropdown. They change a group’s name and description, or delete the group.

Deleting a group removes all its users from it. It is refused:

  • for predefined groups (the group for all users, the Diagrams group and the actions group): “This is a predefined access group and it can’t be deleted”
  • when a member is responsible in an active workflow, or a competency responsible, through that group; the message names them

Shown when a group is chosen.

Control What it does
Help text Asks you to tick or untick the users who should be members.
Member list A checkbox per user. Ticking adds the user to the group; unticking removes them.
Search box Finds a user in the list.
Add all users to group Adds every user.
Remove all users from group Removes every user.

Removing a user is refused for the same workflow and competency reasons as deleting a group. You cannot remove yourself from the predefined Diagrams group.

Shown when a group is chosen. A help text explains the section, followed by a table:

Column What it shows
Module name One row per document module, special module, KPI scorecard and area, as on the Users tab. There is no Super area row: access to the Super menu cannot be given through a group.
Access rights The group’s level in a dropdown: blank, Read, Edit, Create, Approve, Manage, Archive, Admin. As a general rule each level includes all the lower levels (Read is the lowest, Admin the highest); for the features that need one exact level, see The Users page and the rights table.

The group’s level then shows in the Group rights column of each member’s rights table on the Users tab; hovering over it shows the group’s name.
