Choose how comments notify people
Each document module has three comment settings, in the module’s settings under Super > Modules, on the module’s Admin tab, in the section Document comments box: whether the module has a comments panel at all, whether people get an e-mail when they are mentioned with @, and how many minutes must pass between two comments before the later one sends the other participants an e-mail. The settings apply to that one module. You change the two switches yourself; they are saved as soon as you change them. The minutes are 10 by default; to change them, contact Antenor.
Before you start
Section titled “Before you start”- You need the Admin level on the Super area row of your rights; this is what shows the Super menu. Your user administrator sets this.
- Know how comments work for users; see Comment on a document and mention colleagues.
-
In the left menu, click Super > Modules.
-
Open the module you want to change, and go to its Admin tab.
-
Find the section Document comments box and set:
- Turn comments box on/off: on gives every document in the module a comments panel.
- User tagging e-mail notification on/off: on sends an e-mail to a user who is mentioned with @ in a comment.
Each switch is saved as soon as you change it; there is no separate save for them.
What you should see
Section titled “What you should see”The settings take effect for the module’s documents:
| Setting | Default | When on, or with a value | When off |
|---|---|---|---|
| Turn comments box on/off | On | Documents in the module show the comments panel, and participants can write. | Documents without comments show no comments panel; documents that already have comments still show them, read-only. |
| User tagging e-mail notification on/off | On | A user mentioned with @ gets the e-mail “You have been mentioned in a comment”, in addition to the bell notification. | The mentioned user gets only the bell notification. |
| Inactivity window before e-mail notification (minutes) | 10 | Applies to the e-mail “Document Chat - New Comment” to the other participants of a step. The module’s inactivity interval is 10 minutes unless Antenor has changed it. Comments on other documents in your company can also postpone this e-mail. A later comment must meet the interval before an e-mail is sent; simply waiting does not send one. When sent, the e-mail includes the document’s comments that have not yet been e-mailed. A topic comment does not trigger this e-mail. | Not applicable. |
Good to know
Section titled “Good to know”- Bell notifications stay. The e-mail setting and the minutes affect only e-mail. A mentioned user still gets the notification under the notification bell in the top bar, and the other participants still get one for every comment.
- No off switch for the comment e-mail. The module has no setting that switches off the “Document Chat - New Comment” e-mail; only the minutes can be changed, by Antenor.
- Topics are separate. A topic with an e-mail goes to the recipients the writer chooses; topic comments never trigger the “Document Chat - New Comment” e-mail.
- Invitations. A user the step owner adds as a participant gets the invitation e-mail “You have been invited to give comments on a document”.
- Other reminders. Reminder e-mails about overdue actions are set up separately; see Set up action reminders.
