The comments panel

The comments panel sits at the bottom right of a document page in document modules, in both view mode and edit mode. It is shown when the module has comments switched on, or when the document already has comments; with comments switched off, those comments can only be read. Anyone who can open the document can read the comments. Writing needs you to be a participant of the current step of the document’s latest revision, and the document must not be published or be waiting for its receiver to take it over. This page describes every control in the order it appears. For a walkthrough, see Comment on a document and mention colleagues.

Control What it does When it is shown
Comments Opens and closes the panel. Always, when the panel is shown.
Red badge The number of comments you have not read. Opening the panel marks them as read. When you have unread comments.

The panel has three tabs: Current Revision, Older revisions and Participants.

The comments on the current revision. The tab shows 20 comments at a time; older ones load as you scroll. New comments from others appear at once, and you see when someone is typing. With no comments, the tab says “No comments”.

Part What it shows or does When it is shown
Name The full name of the person who wrote it. Always.
Date and time When it was written: day/month/year and hour:minute, for example 14/10/2026 09:30. Always.
“(Edited)” Marks a comment that has been changed. Hover over it to see when. When the comment has been edited.
Pencil Edits the comment. Press Enter or click the send arrow to save. On your own comments, while you are a participant.
Red x Deletes the comment after “Please confirm that you wish to delete the comment”. On your own comments, while you are a participant. A topic that was e-mailed cannot be deleted: “You cannot delete a topic heading for which you have sent out an e-mail”.
Control What it does When it is shown
Text box (“Write a comment…”) Where you type. Enter sends the comment; it does not start a new line. Type @ to mention someone (see below). The Up arrow opens your last comment for editing; Esc stops editing. When you can write.
Send arrow Sends the comment, or saves the comment you are editing. When you can write.
Topic icon (Create a new topic with this text) Turns the text you typed into a topic and opens the topic panel (below). When you can write and are not editing.
Cancel Stops editing a comment without saving. Only while you edit a comment; it replaces the other buttons.
Message “You cannot comment on this document at this time. If you received an invitation this is no longer valid.” Shown to someone who was a participant of an earlier step. After the document has moved to another step.

@ mentions. Typing @ followed by letters lists up to 20 matching users, by name with e-mail address. The owner of the current step sees all active users in your company, so only the owner can bring someone new in this way; other participants see only the current participants. The person you choose becomes a participant of the current step, gets a notification under the notification bell in the top bar with a link to the comment, and gets an e-mail if the module sends mention e-mails.

Opens when you click the topic icon.

Control What it does
“Would you like to send an email for this new topic?” The question at the top of the panel.
Subject The e-mail subject. Filled in with your text; required.
Content The e-mail text; required.
Recipients Who gets the e-mail; required. They become participants of the current step.
Send Sends the e-mail to the recipients.
No, thanks Closes the panel without sending an e-mail.

The comments from the document’s earlier revisions, grouped by revision. They can only be read.

The people taking part in the current step. The owner of the step is always on the list.

Control What it does When it is shown
“Type name to search…” Type a name and choose a user to add them as a participant. You can choose among all active users in your company. The person gets the e-mail “You have been invited to give comments on a document”. Only for the owner of the current step.
# Row number. Always.
Name The participant’s name. Always.
Last comment The participant’s last comment. Always.
Red x Removes the participant, after you confirm. Removing someone takes them off the participant list of every step and revision of the document. The owner of the step sees it on the other participants; every participant sees it on themselves. Never on the owner, never when there is only one participant, and not while the document is waiting for its receiver to take it over.
  • A new comment is stored at once. The mentioned users, the other participants and topic recipients are notified as described in Comment on a document and mention colleagues.
  • A participant you add can open the document while they are a participant of its current step, even without the Read right on the module’s row.
  • When the document moves to the next step, the list of participants starts again with the new step’s owner.
