The Log, Attachments, Actions and External views
At the bottom of the document page of a standard document module (for example Avvik, Kundetilfredshet or Styrende dokumenter), a row of tabs switches between the form and the views on this page: Sections, open when the page loads, shows the form itself, and each other tab opens one of the views described below, column by column. For the rest of the page, see The document page in view mode. Which modules use external sending and actions is your company’s own setup.
The tabs
Section titled “The tabs”| Tab | What it opens | When it is shown |
|---|---|---|
| Sections | The form itself, with its section tabs. Open when the page loads. | Always. |
| Attachments | The list of files on the document. The tab shows the number of attachments. | Always. |
| Actions | The actions linked to the document. The tab shows the number of actions. | Always on the document page. Disabled for users without access to the Action Manager, with the tooltip “Requires Action Manager access. Contact a superuser.”. |
| External | The people outside ABMS the document was sent to. | Only in modules set up to show it. |
| Log | One line per step of the document. | Always on the document page. |
The Log view
Section titled “The Log view”One line per step of the revision you are looking at, in step order. A step that was rejected has no line, because a rejected step is removed. Earlier revisions have their own log: open the revision from the info panel to see it.
| Column | What it shows |
|---|---|
| Section | The name of the section of that step. |
| Created | The date the document reached that step; see Dates and times on a document. |
| Updated | The date that step’s line was last saved; see Dates and times on a document. |
| Workflow user | The full name of the person who held that step. This is where you see who has held each step, and who holds the document now: the last line. |
| External | “true” when that step was sent to someone outside ABMS, otherwise “false”. |
| External User | The e-mail address that step was sent to outside ABMS. Empty when it was not sent externally. |
| Rejections | A link “See Rejections” with the number of times the next step was rejected back to this step. |
See Rejections opens the dialog Rejections:
| Column or button | What it shows |
|---|---|
| Message | The first 20 characters of the rejection message. Hover over it to read the whole message. |
| Workflow user | The name of the person who rejected. |
| Date | The date of the rejection. |
| Close | Closes the dialog. |
The Attachments view
Section titled “The Attachments view”| Column | What it shows |
|---|---|
| File name | The file’s name. Hover over it to see a preview of an image; for a file that is not an image the preview says “There is no thumbnails available”. |
| Source | How the file was added: “Direct upload” (the paper clip or dragging the file onto the document), “Upload field” (an upload field in the form), “Table field” (an attachment in a table cell), or “wysiwyg” (shown exactly like this in ABMS) for a file or image uploaded through the text editor. |
| Revision | The number of the revision in which the file was added, so a file carried along from an earlier revision shows that revision’s number. |
| Uploaded by | The name of the person who uploaded the file, or “External User” for a person outside ABMS who added it on a form sent to them. |
Published documents in a module without revisions. For users with the Admin level on the Super area row, and users who are set up in the module’s workflow as possible receivers of one of the document’s steps, the Attachments view of a published document also has:
| Control | What it does |
|---|---|
| Add attachment | Opens the file picker and adds the file to the published document. |
| “Drop files here to upload” | An area at the top of the page where you can drop files to add them. |
| A column with “Delete” per file | Deletes the file from the document. |
| “Info: You can also drag and drop attachments into the document to upload” | A note under the list. |
An attachment whose image is used in a text editor field cannot be deleted while the image is in the text; see Add attachments to a document.
The Actions view
Section titled “The Actions view”| Part | What it shows or does |
|---|---|
| New action | Creates an action linked to the document. Shown to the owner of the current step while the document is not published; in a module without revisions also, on a published document, to the users described for the Attachments view above. |
| Id | The action’s number. |
| Action title | The action’s title. |
| Creator | The person who created the action. |
| Responsible | The person responsible for the action. |
| Current editor | The person who must act on the action next. |
| Created date, Last update, Closed date, Due date | The action’s dates. |
| Status | The action’s status, with a coloured dot. See Action statuses, who holds an action, and e-mails. |
| Clicking a row | Opens the action in the action dialog. |
| Trash (Delete action) | Deletes the action. Shown only on actions with the status New or In progress. A user with the Admin level on the Super area row sees it on every such action. The action’s creator sees it on their own actions if they also own the current step or, in a module without revisions, are one of the users described for the Attachments view above. Nobody else sees it. |
| Pages | 10 actions per page, with page navigation below the list. |
Linked actions that are not closed stop the document from being published; see Handle an action you received.
The External view
Section titled “The External view”The columns Email, Status, Last Sent Date and Expiration Date, the three statuses (Waiting for response, Responded and No response (Expired)), and the buttons for sending again are described in Send a document to someone outside ABMS. In addition:
| Part | What it does |
|---|---|
| One row per e-mail address | Each address the document was sent to has one row, showing its latest sending. |
| Search box | Narrows the list to matching rows. |
| Column headings | Click a heading to sort by that column. |
| Pages | 10 rows per page. |
