The report Settings tab
The Settings tab of a report decides what the report shows for everyone: its name and module, its columns, which documents it includes, and its PDF export. The tab is shown only to the report’s creator and to users with the Admin level on the Super area row, and only for a report on one module; your user administrator sets the Admin level (see The Users page and the rights table). The tab has four sections, described below in the order they appear.
General Settings
Section titled “General Settings”| Control | What it does |
|---|---|
| Report name | The report’s name. |
| Translations | Switch on to give the name and description in English and Norwegian. |
| Report description | A short description, shown in the Reports list. |
| Choose module | The module the report is for, shown with Check all, Uncheck all and Show deactivated values. The module cannot be changed once the report has been created. |
| Show this report in the system menu | Lists the report under its module in the left menu. |
| Show first two columns on mobile | Title and Status are always shown on phones. When ticked, the first two columns from the left of the table are shown there as well. |
| Delete report | Deletes the report. Shown to the report’s creator and to users with the Admin level on the Super area row; deleting needs the Create right or higher on the Super area row. |
Field Settings
Section titled “Field Settings”| Control | What it does |
|---|---|
| Module Specific Fields | The module’s own fields. Tick a field to show it as a column. |
| Shared Fields | Fields that all modules have, such as title, status and dates. Tick to show as columns. |
| Show old Fields | Also lists fields from older versions of the module that were removed in the latest update, so they can still be used in the report or its analyses. |
| Show colors | For modules with a risk field: shows the risk colours. |
At least one field must stay selected: “You need at least one field selected for the report. If you want to deselect the current one choose another first!”
Main report filter
Section titled “Main report filter”The main filter applies to everyone who opens the report. Users can add personal filters on top, but not on a field the main filter already covers.
| Control | What it does |
|---|---|
| “Select the types of documents to display in the report” | Choose among new, in progress, completed and archived documents. Tooltip: “Choose from new, in-progress, completed, or archived documents to display. Any field filters applied afterward will only filter the documents within the selected categories”. |
| Select columns for filtering | Choose the fields to filter on. Each gets criteria that fit its type: values from a list, a text to search for, a value or date range, a connected dropdown, a user, or a risk value. Any field can also be filtered on blank or not blank. |
| Save filter | Saves the main filter. Until a filter is saved, the section says “No filter has been applied”. |
PDF Export settings
Section titled “PDF Export settings”| Control | What it does |
|---|---|
| Export name | The title of the PDF. |
| Column boxes 1 to 5 (“Select column”) | The columns of the PDF, up to five. A column whose field has been removed is marked “(deprecated)”. |
| Export preview | A table that shows how the PDF will look. |
| Turn on pdf export | Shows Export pdf on the report page. Can only be switched on when the report has an Export name and at least one column; the question mark next to it says “Please select at least one column to be able to turn on the pdf export ability”. When you change the export name or a column and leave the box, the switch is turned on by itself if both are there, and off if either is missing. |
Changes in this section are saved automatically. The exported file is named “Export_” followed by the date and time to the minute, for example Export_2026-06-16_14-30.pdf.
