Reports: who can do what, and the Reports list

This page lists the right each action in the Reports module needs, and the rules of the Reports list. Rights are set per user by your user administrator, in the left menu under Super > Users; see The Users page and the rights table. A higher level includes the lower ones: Read, Edit, Create, Approve, Manage, Archive, Admin.

Action What it needs
See Reports in the left menu The Read right on the reports row.
See a report in the Reports list The Read right on the report’s module. Reports on modules you cannot read are not listed.
Open a report The Read right on the reports row and the Read right on the report’s module. If you open a report, for example from a company menu, without the Read right on its module, the report does not open and a dialog with a lock symbol lists the names of your company’s users with the Admin level on the Super area row, whom you can ask.
Search, personal filters, sorting, column order Anyone who can open the report. Only the Remove all filter button, shown on a phone or tablet, also needs the Create right or higher on the report’s module. They change the report for you only; see Which documents a report shows: document types, filters, search and sorting.
Export xls, Export pdf The Read right on the reports row.
New Document in the report’s top bar A report on one module, and the Create right on that module.
Delete a document from the report’s Delete column You own the document’s current step, and the document is at its first step, not published and without an active link for someone outside ABMS; see Report columns and rows: what each value shows.
New report The Create right or higher on the reports row.
See and use the Settings tab You created the report, or you have the Admin level on the Super area row. The tab is shown only for a report on one module.
Delete report The button is shown to the report’s creator and to users with the Admin level on the Super area row. Deleting also needs the Create right or higher on the Super area row; a creator without that right sees the button, but the report is not deleted.
See charts on the Analysis tab Anyone who can open the report. Users with only the Read right on the reports row see analyses created by others read-only.
CREATE NEW analysis The Create right or higher on the reports row, or the Admin level on the Super area row. Shown only for a report on one module.
Save changes to an analysis The analysis’s creator, as long as they have the Edit right or higher on the reports row or the Admin level on the Super area row. For others: the analysis must not be locked, and you need the Create right or higher on the reports row or the Admin level on the Super area row.
Delete an analysis Users who can create analyses. A locked analysis can only be deleted by its creator.
Accept Contents Overview tab The Create right or higher on the reports row, a report on one module, and Read & understood turned on for that module; see The report page.
Item Rule
Order Alphabetical by the report’s name in your language.
Which reports Only reports on modules where you have the Read right.
Name, Description The report’s name and description in your language. On a phone, only Name is shown.
Last updated The date the report itself was last saved, for example after a change on its Settings or Analysis tab. Your own filters and sorting do not change it. On a phone, this column is not shown.
Paging 10 reports per page, with page links. The page you were on is kept while you open reports from the list and come back.
Filter Narrows the list as you type. While there is text in the box, all matching reports are shown on one page and the page links are hidden.
Step or rule Detail
Confirmation Delete report asks “Delete report?” with “Do you really want to delete the report?”.
Linked in a company menu A report that is linked in one of your company’s menus cannot be deleted. The message is “This report cannot be deleted as it is linked to the company menu”. Remove the link first; see Build or edit a company menu.
After deleting The report disappears from the Reports list, from the left menu and from users’ favourites. It is deleted together with its settings and analyses and cannot be restored in ABMS. The documents the report listed are not changed.
