The competency user list

The User information tab is the first tab in Competency. It lists the people in Competency that you are allowed to see, one row per person, and is where you search, filter, export, add people and edit them directly in the list. The global-field columns and filters depend on your company’s setup.

Your right in Competency People in the list
Read, Edit or Create Only your own record.
Approve Your own record, plus the people whose title or global-field value you are responsible for. Users with the Manage right or higher set these responsibilities in the Admin tab. With no responsibilities, only your own record.
Manage or higher Everyone.

The rights in Competency build on each other in this order: Read, Edit, Create, Approve, Manage, Archive, Admin. Each right includes everything the ones before it allow, so “Manage or higher” means Manage, Archive or Admin.

By default the list shows only active people: people without an end date, or whose end date is today or later. Your user administrator sets your right.

Control What it does Shown
Search Type and press Enter, or click the magnifier. Finds the text anywhere in the name, e-mail, phone, next of kin, next of kin phone, title, employee number, DaWinci code and global-field values. Upper and lower case do not matter. The x clears the search. Always
Filter Choose one column to filter on: Employee number, Title, your global fields, Start date, End date, DaWinci code, System user or capsules. A value control for that column appears; see “Filters” below. Always
Add user Opens the dialog Create basic competency user; see “Add user dialog” below. Approve or higher
Edit mode Switches the list to inline editing; the button then reads View mode. See “Edit mode” below. Edit or higher
Export to excel Downloads the file CompetencyUsers.xlsx; see “Export” below. Always
Show expired users Shows only people whose end date has passed. The button then reads Show active users, which switches back. Always
Star (tooltip “Add to favourites”) Adds the User information tab to your favourites on the dashboard. Always
Column Contents
Name First and last name. The list is sorted by name, A to Z, until you choose another sort.
E-mail The person’s e-mail address.
Employee number
Title
Global fields (for example Company, Country, Department, Location) One column per global field your company uses in Competency, after Title. A value that has been deactivated is shown with “[Deactivated]”.
Start date, End date Employment dates.
DaWinci code
Chevron Expands the row; see below.

Click a column heading to sort by it. Click any cell in a row to open the person’s details page in the same tab; see The person details page.

The chevron at the end of a row shows more about the person: Phone nr, Birthdate, Capsule (the capsules linked to the person), Next of kin, Next of kin phone, System user (ticked when the person is linked to a login to ABMS; cannot be changed here) and Comments.

Column type Value control How it filters
Title, global fields, capsules Select Value, a list where you tick one or more values Applied as soon as you tick. Shows people with any of the ticked values.
Employee number, DaWinci code A number box (1 or more), then Add filter or Enter Shows people whose number contains the digits you typed.
Start date, End date From and To date pickers Applied as soon as you pick a date. For End date, the To date has no effect; only From limits the list.
System user A switch Shows people with or without a login to ABMS.

Each filter is listed under Applied Filters, with an x to remove it. Filters and sort are saved for you and come back the next time you open the list.

Below the list, “Showing 1 to 10 of N” tells you how many people match. Use « Previous and Next » to page, and choose 10, 20, 50 or 100 rows per page. The default is 10.

In Edit mode the cells become fields. Each field is saved on its own when you leave it or change it, with the message “User details has been saved successfully”. There is no Save button. Click View mode to leave; the list reloads if anything changed.

Field Control Rule
First name, Last name Text Disabled for people linked to a login to ABMS; their names come from the login.
E-mail Text Disabled for people linked to a login.
Employee number, DaWinci code Number Must be a whole number of 1 or more, otherwise “… must be natural number”.
Title List
Global fields List Only active values.
Start date, End date Date pickers An end date that has passed makes the person expired: they leave the list. Saving an end date that has already passed also removes their responsibilities in Competency. See Update a person’s information or end their employment.
Expanded row: Phone nr, birth date, Next of kin, Next of kin phone, Comments Text, date, text area Saved when you leave the field.
Expanded row: Capsule Multi-select Links or unlinks capsules at once. It does not add the capsule’s competencies to the person; do that on the details page.
System user Checkbox Cannot be changed.

What you can change still depends on your right: with Edit or Create, your own record; with Approve, your own record and the people within your responsibility; with Manage or higher, everyone.

Shown with Add user (Approve or higher). See Add a person to Competency.

Control What it does
E-mail Optional. As you type, lists active ABMS users of your company who are not in Competency yet (“e-mail - first name last name”). Picking one fills in name, title and global fields and links the person to that login. An address in the wrong format shows “Not a valid e-mail”.
First name, Last name Required.
Title Optional list.
One list per global field Optional; active values only.
Cancel Closes the dialog without creating anyone.
Submit Creates the person. Disabled until both names are filled in and the e-mail is empty or valid.

After Submit, the message “The competency user was created” appears and the new person’s details page opens. If the e-mail is already used by another person: “The e-mail is already in use, please try another one.”. With the Approve right (below Manage), a confirmation comes first: “Selecting only areas for which you are not responsible will mean you will no longer be able to see this user. Do you wish to proceed?”, with the buttons Cancel and Yes.

Export to excel downloads the people you can see, following your search, your saved filters, your sort, and whether you are showing active or expired users. The file always has the same columns, whatever the list shows: first name, last name, e-mail, employee number, title, your global fields, start date, end date, DaWinci code, phone, next of kin, next of kin phone, birth date, comments, system user (Yes or No) and capsules. Dates are written as day/month/year in English (31/12/2026) and day.month.year in Norwegian (31.12.2026).
