Environmental aspect actions in detail

This page gives the detailed rules for the actions in Environmental aspects: who becomes the sender, what Save does when you have chosen “Yes” under Action accepted, when an aspect counts as accepted, when an action is waiting for whom, and exactly what the e-mails contain. Opening the residual risk after “Yes” also closes the action; see Send an action and close it. The steps of a round, the statuses and the e-mail subjects are on Action rounds, statuses and e-mails.

Rule Applies to
The person who first clicks Save or Send action in the dialog for an aspect that has no action yet becomes the sender of that aspect’s action. This also happens when you click Save only to store other changes, unless the status is No action. Creating this first action needs the Create right on the Environmental aspects row; see The Users page and the rights table. An aspect in Environmental aspects with no action.
The sender stays the same in every later round of the aspect’s action. Another user cannot take over as sender in the dialog; only an ownership transfer by your user administrator moves the sender role to another user (see below). Every round of one aspect’s action.
Once a draft exists, Send action is shown only to its sender. Another user who opens the aspect does not see the button. An aspect with a saved draft that has not been sent.
A new round after a rejection goes to the responsible person of the latest round. An aspect whose action has been rejected by the responsible person or sent back by the sender.

Your user administrator can move the environmental aspect actions that are waiting for a user to another user. The other user then takes that user’s place as sender or responsible person in the latest round. See Transfer ownership of a user’s items.

Rule Applies to
When you are the sender and have chosen “Yes” under Action accepted, Save does the same as Close action: your acceptance as sender is saved, the aspect gets status Closed, and the responsible person gets the e-mail “An environmental aspect action has been published”. The dialog for an aspect whose responsible person has accepted the action.

Three things in an environmental aspect action are called accepted. The responsible person accepts the work with Accept action. The sender accepts it with “Yes” under Action accepted, followed by Close action or Save. And the aspect itself counts as accepted once the sender has accepted a round, as described here.

An aspect counts as accepted as soon as one round of its action has been accepted by the sender. From then on, for that aspect, saving the risk analysis no longer copies it into the residual risk, the residual risk can be opened whenever the status is not Closed, and no new action can be sent. Changing the status to Reopen or Open does not undo this.

ABMS looks at the latest round of each aspect in which you are the sender or the responsible person. If your company’s dashboard has the Actions awaiting your input box, aspects that are waiting for you are counted there; see The dashboard.

After this step in the round Waiting for
Draft saved, not sent Nobody
1. The sender has sent the action The responsible person
2a. The responsible person has accepted and described the work The sender
2b. The responsible person has rejected the action The sender
3a. The sender has closed the action Nobody; the action is finished
3b. The sender has sent the work back The responsible person
The responsible person has written a new description after 3b The sender
The sender has sent the action again after 2b The responsible person

Every e-mail about an environmental aspect action has the same layout. The subjects and texts per step are on Action rounds, statuses and e-mails.
