KPI Excel export file: line by line
This page describes the Excel file you get with Export xls on a KPI scorecard page: its name, its sheet, its lines and what each cell holds. Who can export, which year is exported and the list of columns are in Rights, years, favourites and Excel export in KPI Scorecard.
The file
Section titled “The file”| Item | Content |
|---|---|
| File name | “Export_” followed by the date and time of the export, for example Export_2026-10-21_14-05.xlsx. |
| Format | An Excel workbook (.xlsx), although the button says xls. |
| Sheet name | The scorecard name, “ - “ and the year. A scorecard name longer than 24 characters is shortened to 24 characters in total: the first 21 characters followed by “…”. The name is the one the exported year’s copy has. |
| When figures are calculated | When you click Export xls. System rows are recalculated from the documents at that moment, the same way as on the page, and the lights are decided again. |
| Sub-rows | Every sub-row is in the file with its values, also sub-rows that are collapsed on the page. |
| Not in the file | The green and red boundaries, calculation types, info texts, sort numbers and graphs. |
The lines
Section titled “The lines”| Line | Content |
|---|---|
| First line | Column headings, in your user language. |
| Header line | The header’s name in the first column (Category). The other cells on a header line are empty. |
| Row line | The row’s name in the second column (Sub-category), followed by the row’s values. |
| Sub-row line | The sub-row’s name in the third column (Sub-sub-category), followed by the sub-row’s values. |
The lines follow the order of the scorecard: each header is followed by its rows, and each row by its sub-rows.
The value cells
Section titled “The value cells”| Column | Content |
|---|---|
| Sum | The row’s or sub-row’s figure from the Sum column, as a number. |
| Traffic light | The light shown in the Status column on the page, as the word Green, Yellow or Red in your language, in a cell filled with that colour. The cell is empty when the row has no light. |
| Target | The target, as a number when it is a number. The > or < sign is part of the cell’s display format, not of the value, so Excel calculates with the number alone. When the row has no target, the cell holds the text “-”, as on the page. |
| Months | Twelve columns from January to December, as numbers. A month with no value is an empty cell. |
All figures are stored as numbers, so you can calculate with them in Excel. Only the display is formatted: groups of thousands are shown separated by a space, and the decimal sign follows your Excel settings.
