Rights, years, favourites and Excel export in KPI Scorecard
This page collects the rules that apply to a KPI scorecard as a whole: who can do what, how years work, favourites, and what the Excel export contains. They apply wherever you meet a scorecard: in the left menu, on the KPI Index page and on the scorecard page.
Availability
Section titled “Availability”KPI Scorecard is a module that is enabled per company; Antenor enables it on request. If the menu entry is missing, either the module is not enabled, you do not have at least the Read right on the KPI row, or you have no scorecard you can read and no Create right on the KPI row. Ask your user administrator first, then Antenor support.
Rights
Section titled “Rights”Your user administrator sets KPI rights in the left menu under Super > Users, on the Users or Access groups tab; the steps are in Give a user access rights. The rights table has two kinds of KPI rows:
- the KPI row, which covers KPI Scorecard as a whole
- one row per scorecard, named Kpi: <scorecard name>
Each row has a level: Read, Edit, Create, Approve, Manage, Archive or Admin (or None). A higher level includes the lower ones within the same row, so Approve, Archive and Admin give at least what the level below them gives.
On the KPI row:
| Level | Lets you |
|---|---|
| Read | See the KPI Scorecard entry in the left menu and the scorecards on the KPI Index page. Without at least Read on the KPI row, the menu entry is hidden and the list is empty, whatever rights you have on single scorecards. |
| Create | Make new scorecards (New scorecard in the menu, New KPI on the list page). |
| Manage | Add headers (Add new header) and open the rows dialog (the cog next to a header) to add, edit and delete rows and delete headers. Includes Create. |
On a scorecard entry (Kpi: <name>):
| Level | Lets you |
|---|---|
| Read | See the scorecard in the list and menu (this also needs at least Read on the KPI row), open it, draw graphs, choose a year, export to Excel. |
| Edit | Everything Read allows, plus enter edit mode and, there, type values in manual rows, change targets, info texts, header and row names, sort order and a row’s default graph; and rename the scorecard. |
| Create | Everything Edit allows, plus delete the scorecard. |
Building a scorecard needs both: the Manage right on the KPI row, and the Edit right or higher on the scorecard’s row, because headers and rows are added in edit mode. Whoever creates a scorecard gets the Create right on its row automatically. Levels given to an access group apply to everyone in the group. Rights are copied to each new year copy.
Each scorecard has one copy per year. Opening a scorecard, from the list, the menu or a favourite, shows the copy for the current calendar year. The list and the menu show the name and dates of the copy for the highest year.
A new copy is created when:
- someone chooses a year in Select KPI Year that has no copy. Anyone with the Read right on the scorecard’s row can do this.
- someone chooses such a year in Choose year to compare with : in the graph settings, because that switches the page to the chosen year.
- someone opens the scorecard in a new calendar year and that year has no copy yet.
A new copy keeps the headers, rows, boundaries, targets, calculation types and sources. Manual values start empty, and system values are recalculated from documents. Creating a copy for an older year does not change the list, because the list shows the copy for the highest year.
Choosing a future year. If you choose a year after the current one, its copy becomes the copy for the highest year. From then on the list and the menu take the scorecard’s name and dates from that copy, and later year copies are made from it. Opening the scorecard still shows the current calendar year. Only choose a future year when you mean to; if it happens by mistake, contact Antenor.
Changes in one year. Headers and rows can only be added, and the rows dialog opened, when the selected year is the current calendar year. Headers and rows you add are not added to a copy for a later year that already exists. In any other year, row names, sort order and targets cannot be changed either, so the rows, boundaries and targets of a past year stay as they were.
How year copies affect the dates in the list is explained in When does “Document updated” change in the KPI list?.
Favourites
Section titled “Favourites”The star on the scorecard page, with the tooltip Add to favourites, adds the scorecard to your favourites, which show in the favourites widget Your favourite documents on your dashboard. Click the star again to remove it. Favourites are personal.
Excel export
Section titled “Excel export”Export xls on the scorecard page downloads the year you are looking at. You need Read, and the button is hidden in edit mode.
The file has one sheet named after the scorecard and the year, for example “Quality - 2026”. It has one line for each header, row and sub-row, with these columns:
| Column | Content |
|---|---|
| Category | The header name. |
| Sub-category | The row name. |
| Sub-sub-category | The sub-row name. For sub-rows from a split on a translated field, the name is in your language. |
| Sum | The row’s sum. |
| Traffic light | Green, Yellow or Red. |
| Target | The row’s target. |
| Months | The twelve month values. |
