The global index and Admin tabs

Next to Index, the Substance register has two tabs for users with the Admin right on the Substance register row: Global index, the shared library of data sheets that all companies using the Substance register draw from, and Admin, the setup for the usage rows. Users without that right do not see these tabs. Your user administrator sets the rights.

This page describes both tabs as you see them in a wide browser window, control by control.

The Global index lists the shared data sheets. Every data sheet that any company adds or changes in its register is saved here as well. For step-by-step use, see Find and copy sheets in the global index.

Control What it does
Search Lists the shared sheets whose name, article number, supplier, data sheet file names or Updated by (the person’s name and company) contain your text. A full date matches the date columns.
Column Content
Name The substance name.
Article number The product’s article number.
Supplier The supplier (manufacturer) of the product.
Release date The release date entered on the shared sheet.
Audited date The audited date entered on the shared sheet.
Updated at When the shared sheet was last saved (the shared sheet, not your copy).
Datasheet The data sheet file name.
Updated by Who saved the version.
Copy The copy button copies the sheet to your register. When the sheet is already in your register, the row shows Existing instead of the button.
Step What happens
Click the copy button in the Copy column A dialog asks you to accept that Antenor takes no responsibility for the content of the data sheet. Closing the dialog cancels.
Accept The sheet is added to your register with the shared sheet’s content and version, and you see “Copy successfully.”. Nothing changes in the global index.
Sheet already in your register The dialog Existing datasheet! says “Can not copy an existing datasheet”. Nothing is copied.

Copy one sheet at a time.

Clicking a row opens the shared sheet on its own page.

Control What it does
Back to global index Returns to the Global index tab.
Sheet fields The content of the shared sheet.
Revisions view Compares two versions of the shared sheet side by side. All saved versions are listed, newest first, with their date and who saved them. Choose two versions; the swap arrow (⇄) switches their sides. See also The data sheet page.
Copy button Copies the sheet to your register, as from the list.

The Admin tab has the sections Dropdowns and Matrix, which open and close with their headings.

Dropdowns lists the dropdown fields that the usage rows on every sheet’s use and analysis tab can be tagged with: global fields added to the Substance register, and fields that belong to the Substance register only. The values are offered on each usage row in edit mode, where a row can have several values per field, and are available as columns, filters and search terms on the Index tab. For step-by-step use, see Manage substance register dropdowns and matrices.

Control What it does Shown to
Field name The name of the field. Everyone on the tab.
Value box Opens the field’s values, active values first, then deactivated values marked “[Deactivated]”. The list has Add new, and per value Edit, Deactivate or Activate, Delete and a merge checkbox (Merge). It works as described in Add a value to a global field, with or without translation. Everyone on the tab. The values of a global field can be changed only by users with the Admin level on the Super area row and, to use this tab, the Admin right on the Substance register row.
Pencil (Edit) Opens Edit Field with Field name and Update. For a global field: “Editing the value will affect all modules in which it is in use. Are you sure you would like to continue?” Global fields: only users with the Admin level on the Super area row.
Trash icon For a global field, removes it from the Substance register after “Please confirm that you would like to remove this field from the module”; you see “Drop-down removed successfully”, and the field stays in other modules. For a field of the Substance register, deletes it; you see “Drop-down deleted successfully”. Global fields: only users with the Admin level on the Super area row.

Deleting a value asks “Are you sure you want to delete this value?” for a field of the Substance register, and “Deleting the value will affect all modules in which it is in use. Are you sure you would like to continue?” for a global field. Merging values opens Merge fields with Fields to merge, Select a name and Use new name, and warns “Merging values will overwrite current value everywhere they are in use”.

The section has no button for adding a field: you cannot create a field here or add a global field to the Substance register. Contact Antenor if the Substance register needs another field.

The dialog for a new usage row has no dropdown fields; they are filled in on the row afterwards.

Matrix holds your company’s risk matrices for the usage rows. The default matrix is the one users see when they set the health, fire and environment risk of a usage row, on every sheet. For step-by-step use, see Manage substance register dropdowns and matrices.
