The risk Admin tab

The Admin tab in Risk management holds the setup that all risk analyses use: the dropdown lists that tag analyses, and the risk matrices that analyses are assessed in. The Admin tab in Risk management is shown only to users with the Admin right on the Risk management row; your user administrator grants it. It has two sections, Dropdown and Matrix, described below in the order they appear. Both sections can be collapsed with their headings and are open when you open the tab.

This page describes the tab as you see it in a wide browser window.

The Dropdown section lists every dropdown field assigned to Risk management, alphabetically by name, in two columns. These are the fields users fill in on the analysis information form and see as columns and filters on the risk index. Two kinds are listed:

  • Global fields, shared with other modules, shown with “ (global)” after the name, for example “Company (global)”.
  • Fields that belong only to Risk management, shown with their name alone.

The section’s contents are shown only when at least one field is assigned to Risk management. For step-by-step use, see Manage the risk dropdown lists.

Control What it does Shown to
Warning “You must have Super user access rights to modify Global Fields.” Explains why the global fields cannot be changed. Users without the Admin level on the Super area row.
Add new dropdown Opens a menu with two entries, Create new drop-down and Add from global drop-downs. See “Adding a dropdown” below. Everyone on the tab.
Field name The name of the field, with “ (global)” for a global field. Everyone on the tab.
Value box (“Type here to search”) Opens the field’s list of values. See “Value list” below. Everyone on the tab. For a global field, the values can be changed only by users with the Admin level on the Super area row; others can only read them.
Pencil (tooltip “Edit”) Renames the field. See “Renaming a field” below. Fields that belong only to Risk management: everyone on the tab. Global fields: only users with the Admin level on the Super area row.
Trash icon (tooltip “Remove” for a global field, “Delete” for a field of Risk management) For a global field, removes it from Risk management; the field stays global and in the other modules that use it. For a field of Risk management, deletes the field. As for the pencil.
Menu entry Dialog Result
Create new drop-down Dialog “Add new dropdown” with a Translation toggle. Off: one box for the name, used in both languages. On: one box for English and one for Norwegian. Cancel closes the dialog; Create is disabled until the box or boxes are filled in. “Drop-down saved successfully”. The new field belongs only to Risk management. If it fails: “An error occurred”.
Add from global drop-downs Dialog with the same title, listing the global fields that Risk management does not have yet, each with Add to module. Close closes the dialog. “Global drop-down has been added”. The global field is now listed for Risk management.

The pencil opens the dialog “Edit Field” with Field name, a Translation toggle and, when it is on, the boxes English and Norwegian. Cancel closes it; Update saves the new name. For a global field the dialog warns: “Editing the value will affect all modules in which it is in use. Are you sure you would like to continue?”

Field Confirmation Result
Global field “Please confirm that you would like to remove this field from the module” “Drop-down removed successfully”. The field is no longer listed for Risk management.
Field of Risk management “Are you sure you want to delete this field?” “Drop-down deleted successfully”. The field is deleted.

For both, the field cannot be removed while any analysis has a value in it: “Drop-down cannot be removed because it’s in use”.

Clicking a value box opens the field’s values, active values first, then deactivated values marked “[Deactivated]”. The list has these controls:

Control What it does
Add new Adds a value, with a Translation toggle for separate English and Norwegian texts, and Cancel and Save.
Merge checkbox per value, then Merge … Merges the ticked values into one: “Merging values will overwrite current value everywhere they are in use”. The merge controls are not shown when merging has been switched off for the ABMS installation your company uses.
Pencil Edits an active value. For a global field: “Editing the value will affect all modules in which it is in use. Are you sure you would like to continue?”
Deactivate / activate Marks a value as deactivated, or activates it again. Deactivated values are listed last, marked “[Deactivated]”.
Delete Deletes a value after the confirmation “Are you sure you want to delete this value?” (global field: “Deleting the value will affect all modules in which it is in use. Are you sure you would like to continue?”). A value that is in use cannot be deleted.

How to add and handle values is described in Add a value to a global field, with or without translation; the list works the same way here.

In the analysis information form, each field is an optional multi-select. There is no setting that makes a dropdown required; only the title and the matrix are required for an analysis.

The Matrix section has a panel on the left for choosing a matrix, a panel on the right with its main settings, the Connections list, and the matrix editor below. For step-by-step use, see Set up risk matrices.

Control What it does Shown when
Select a matrix Lists your company’s matrices: a matrix named “Default”, if your company has one, first, then the others by name. Only the newest version of each matrix is listed. Choosing a matrix opens it in the right panel and the editor. Choosing the empty option at the top returns to Create matrix. Always.
Trash icon Deletes the selected matrix after a confirmation: dialog “Delete risk management analysis”, text “Please confirm that you wish to delete this matrix?”. The dialog title says analysis, but only the matrix is deleted. The matrix, its colours and its texts are deleted permanently. A matrix is selected, no analysis uses any version of it, and you have the Admin level on the Super area row.
Copy icon Opens Copy Matrix: “Please enter a name for the new matrix”, with a name filled in from the selected matrix, and a copy button that is disabled while the name is empty. The copy is a separate matrix with the same size, tabs, colours, words and texts; it is not the default, no analyses use it, and it becomes the selected matrix. Names are not checked for duplicates. A matrix is selected.

With no matrix selected, the panel is headed Create matrix. With a matrix selected, it shows the same fields for that matrix under an editing heading.

Control What it does Values and default Disabled or hidden
Name The matrix name, shown in Select a matrix, in the analysis information form and on the heat map. A red icon with the tooltip “Required” shows while it is empty. Free text. Required. Disabled in view mode, and always for the matrix named “Default”.
Description A description of the matrix. Free text. Disabled in view mode.
No. of columns (Max 10) The number of probability levels. Columns are probability. 1 to 10. Required. Disabled in view mode and for the matrix named “Default”. For a matrix that analyses use, it cannot be set lower than the saved number.
No. of rows (Max 10) The number of consequence levels. Rows are consequence. 1 to 10. Required. As for columns.
Default matrix Makes this the matrix preselected under Matrix when users click New risk analysis. Only one matrix can be the default: creating or saving a matrix with this switched on switches it off on all others. The switch has nothing to do with a matrix named “Default”, which is simply a matrix that exists from the start (its name and size cannot be changed); that matrix is preselected only if this switch is on for it. On or off. Disabled in view mode.
Create matrix Creates the matrix with the name, description, size and default setting, four risk-type tabs, default axis words and default colours, and opens the editor. Only this record is stored: colours and texts are stored when you save the matrix in the editor. — Shown only when no matrix is selected. Disabled until Name, columns and rows are filled in.

Shown when analyses use the selected matrix. Connections can be collapsed.

Column Content
Connected Analyses The title of every analysis that uses any version of this matrix. Click it to open the analysis in a new browser tab.
Last updated The date the analysis was last changed. Also opens the analysis in a new browser tab.

Shown below the panels when a matrix is selected or has just been created. The controls appear in this order.

Control What it does Values and default When available
Translation Switches every text in the editor between one plain text per box (off) and an English and a Norwegian box, marked with flags (on). The setting is saved with the matrix and decides what users see in analyses and on the heat map: on, each user sees the text in their own language; off, everyone sees the plain text. The plain texts and the English and Norwegian texts are stored separately, so switching shows the other set, which may differ or be empty. — Always.
Edit mode / View mode Switches the editor between editing and viewing. — Always.
Risk-type tabs One tab per risk type. Click a tab to show its texts and colours. In edit mode, the selected tab shows a box for its name (or an English and a Norwegian box). Four tabs for a new matrix: personnel, asset, environment and reputation. Renaming in edit mode only.
+ button after the tabs Adds a tab. Up to 10 tabs. Edit mode, while the matrix has fewer than 10 tabs.
X on a tab Removes the tab after a confirmation. The removal is stored when you save the matrix. — Edit mode, and only while no analysis uses the matrix or for a tab added since the matrix was last saved.
“Colour palette relative to first tab” Heading for the colour setting of the selected tab. On the first tab, a locked switch reads “This tab creates the basic colour palette for all tabs”. On any other tab, a switch reads “Same colour palette” (off) or “Different colour palette” (on). Switching on copies the first tab’s colours to this tab as a start; its cells are then coloured separately. — Always.
Probability word (top left) The title of the columns. A default word for a new matrix. Box in edit mode.
Column texts One text per probability column. Texts longer than 52 characters are cut off; hover to read the full text. — Boxes in edit mode.
Consequence word The title of the rows. A default word for a new matrix. Box in edit mode.
Column numbers 1 upwards from the left. — Read-only.
Row texts and numbers One text per consequence row, with numbers from the highest at the top down to 1. — Boxes in edit mode.
Cells Click a cell to choose its colour from a palette: yellow, red, orange, green, light blue, azure or dark azure. In the Color filter of a chart, light blue, azure and dark azure are called lightazure, azure and darkazure. For a new matrix: green in the low corner, red in the high corner, yellow between. Edit mode.
Save button (at the bottom of the window) Saves the name, description, size, default setting, Translation setting, tabs, colours and all texts. No message is shown. — Whenever a matrix is selected, also in view mode and without changes.
  • For a matrix that no analysis uses, saving updates it in place.
  • For a matrix that one or more analyses use, every save creates a new version, also when nothing was changed. The new version replaces the old one in Select a matrix, and only the newest version can be edited. Connections keeps listing the analyses on older versions.
  • An analysis keeps its version, with its tabs, texts and colours, until a user with the Edit right on the Risk management row, in edit mode, clicks an original-risk cell and answers yes to “New matrix version”: “There is a new version of the matrix used in this risk analysis. Would you like to update this analysis to reflect the changes?” Answering no keeps the old version, and the question comes back next time. Values already set are not converted.
  • The heat map always shows the newest version of a matrix. See The risk heat map.
