Risk analysis fields: sources, rules and where they appear

This page lists every field of a risk analysis in Risk management: what fills it, whether it is required, where it can be changed, and whether the risk index can show, sort, filter and search it. It also gives the order of the global-field columns, the question you get when you leave Information with unsaved changes, and the details of copying and deleting an analysis. The form itself is described in The analysis information form, and the index in The risk index page.

Field What fills it Required Where it can be changed
Title Text typed by a user. Yes. In index Edit mode, an emptied title is not saved. A copy of the analysis needs a new name. Information; index Edit mode.
Global fields (for example Company, Department or Project) Values chosen from your company’s lists, which are maintained on the Admin tab of Risk management. Each field can hold several values. No. Information; index Edit mode.
Scope Text typed by a user. No. In index Edit mode the field is marked with an asterisk, but it can be left empty. Information; index Edit mode.
Facilitator One user chosen from a list, or blank. The list holds the active users of your company with the Approve right or a higher level on the Risk management row, ordered only by the first letter of their first name. The Facilitator filter on the index offers the same users. No. Information; index Edit mode.

Changing fields on Information or in index Edit mode needs the Edit right on the Risk management row; see Rights, roles and e-mails in Risk management and The Users page and the rights table.

Participants and Date are not offered in Select columns. They appear in the information rows of the analysis export; see Excel exports in Risk management, column by column.

On the risk index, the global-field columns come after Scope, in two groups:

  1. First the global fields of the organisation types company, country, department, location and project, sorted alphabetically by their name in your language.
  2. Then all other global fields assigned to Risk management, sorted alphabetically by name.

The index exports and the information rows of the analysis export use the same order. In Select columns, all columns are listed alphabetically by their displayed name.

On the Information tab of an existing analysis, when you have changed the information or the report and Save is available, a dialog appears if you select the Risk tab or go to another page in ABMS, for example with Back or the left menu. Its title is “Save changes?” and its text is “This page contains unsaved changes. Would you like to save or discard these changes?”

Button What it does
Discard changes Moves on without saving. Your changes to the information and report are lost.
The save button, to the right of Discard changes Saves the information and report, as Save on the form does. Disabled, with the tooltip “Please fill in all required fields to enable save”, while the title or the matrix is missing.
× Closes the dialog. You stay on Information with your changes.

The risk-element table on Risk has no such question: each table cell is saved when you leave it.

Copying an analysis: what each risk element gets

Section titled “Copying an analysis: what each risk element gets”

The copy dialog and its choices for the risk scores are described in Copy or delete a risk analysis. For each risk element, the copy also gets the following:

Part of the risk element On the copy
Texts All six text fields are copied: Risk area, Risk factor, Potential consequence, Cause, Existing barriers and Actions / comments.
Top 10 Kept. A risk element flagged Top 10 in the original is flagged in the copy.
Order Kept. The copy has the same custom order and the same creation order (“Return to initial order”) as the original.
Created and Updated at (the risk-element columns) The time the analysis was copied.

The red trash icon on the index opens the dialog Delete risk management analysis. It shows three lines: “Are you sure you want to delete risk management analysis?”, the analysis title in quotation marks, and “This will delete all risk management items!”. The left button cancels; the right button, which is highlighted, deletes the analysis. Deleting the analysis also deletes the actions in Action Manager that are linked to its risk elements, although the dialog does not say so; see Rights, roles and e-mails in Risk management. Who sees the icon, the right needed and what is deleted with the analysis are described in Copy or delete a risk analysis.
