Excel exports in Risk management, column by column

Risk management has three Excel exports: one analysis with its risk elements, the risk index as a list, and the risk index with every analysis in detail. This page lists what each file contains, sheet by sheet and column by column. How to start the exports is described in Filter, search, export and share the risk index.

Export Where you start it File How you get it Which rows
Analysis export Export (tooltip “Export analysis to excel”) on the analysis page, outside table edit mode The analysis title followed by .xlsx Downloaded Every risk element of the analysis, not only the current page, in your sort order for that analysis, limited by the status filter and the search text you have active
Risk Management index Export on the risk index RiskManagement.xlsx Downloaded The analyses that match your saved filters, in your saved sort order. The search text is not applied.
Risk Management incl. details Export on the risk index RiskAnalysis.xlsx Attached to an e-mail sent to the address registered on your user As Risk Management index, plus one sheet per analysis that has a matrix

You can start all three with the Read right on the Risk management row; see The Users page and the rights table. The date columns of the risk-element rows and of the index sheet use the format month/day/year, whatever your interface language.

Sheet 1: the analysis and its risk elements

Section titled “Sheet 1: the analysis and its risk elements”

From the top, the sheet holds:

  1. The analysis title.
  2. One row per analysis field, with the field name and its value: Title, Facilitator, Participants (separated by commas), Date, Scope, the global fields, Date Created and Last updated. Only the fields you have selected in Select columns on the risk index are included; Participants and Date are always included, and Finalised/Total items never is. The global fields are in the order described in Risk analysis fields: sources, rules and where they appear.
  3. A heading for the risk elements.
  4. A row with the column-section names, each spread over its columns.
  5. A row with the column headings, with Excel’s filter buttons.
  6. One row per risk element, every second row shaded.

The columns follow the column sections on the analysis page. A column marked “when expanded” is included only when you have that section expanded on that analysis; if you have never changed the sections on that analysis, all of them are included.

# Column Included Content
1 Risk area Always Text.
2 Risk factor Always Text.
3 Potential consequence When Risk identification is expanded Text.
4 Cause When Risk identification is expanded Text.
5 Existing barriers When Risk identification is expanded Text.
6 Original risk, one column per risk type When Risk analysis is expanded Probability × consequence for that risk type, as a number. The column heading is the first letter of the risk type. The cell is filled with the colour of the matrix cell; a risk type without a value shows 0 on grey.
7 Sum Always The original Sum of the risk element.
8 Top 10 Always An X when the risk element is flagged Top 10, otherwise empty.
9 Status Always The status name in your language.
10 Actions / comments When Risk treatment is expanded Text.
11 Actions When Risk treatment is expanded Closed linked actions / all linked actions, for example 1 / 3.
12 Residual risk, one column per risk type When Residual risk is expanded As column 6, for the residual risk.
13 Sum (residual) Always The residual Sum of the risk element.
14 Created Always Date.
15 Updated at Always Date.

A second sheet named Report holds the analysis’s report as a picture. When the analysis has no report, the sheet is empty.

The file has one sheet named “Risk analysis index”, with a heading row (with Excel’s filter buttons) and one row per analysis, every second row shaded. The columns are the ones you have selected in Select columns, in this order:

Column Content
Title Always included.
Facilitator The facilitator’s name.
Scope Text.
Global fields One column per selected global field, with the selected values.
Date Created Date.
Last updated Date.

Participants, Date and Finalised/Total items are never included in this sheet.

The e-mail comes from the sender “Antenor BMS (do not reply)”, or from your company’s own sender name and address where your company has set one up. The file is built in the background after you start the export, and the e-mail is sent when it is finished. The subject and the notice you see when you start the export are given in Filter, search, export and share the risk index.

The attached file RiskAnalysis.xlsx holds:

Sheet Content
Risk analysis index The same sheet as in Risk Management index.
One sheet per analysis For every analysis in the index sheet that has a matrix, in the same order: the same layout as sheet 1 of the analysis export, with all its risk elements in your saved sort order for that analysis and your section choices for that analysis. No status filter or search is applied, and there is no report sheet. An analysis without a matrix gets no sheet of its own; Matrix is required in the form for a new analysis.

The sheet name of an analysis is made from the first 20 characters of its title, in lower case. Every character other than the letters a to z, digits and underscore, including spaces and the letters æ, ø and å, is replaced by a space. When two analyses would get the same sheet name, the second gets three spaces and “ver_1” added after the shortened name, the third “ver_2”, and so on. For example, two analyses titled “Office move 2026” give one sheet named “office move 2026” and one named “office move 2026” followed by three spaces and “ver_1”.

  • Files and links attached to risk elements.
  • The details of linked actions; the analysis export has only the count in Actions.
  • The probability and consequence texts, risk-type names and colours of the matrix itself, apart from the colour fill and the first letter of each risk type in the analysis export.
